The Opportunity
The Rental Coordinator is responsible for providing the customer base with long- and short-term rental equipment, from the original quote to final invoice. Works closely with rental sales representatives and customers, as well as current product manufacturers and suppliers. Makes arrangements for the transportation of all rental equipment to customers, prepares quotes and completes rental contracts, and invoices customers. Builds strong relationships with re-renters and suppliers, ensuring product availability is managed effectively and aligned with rental demand.
The Role
- Orders and tracks all rentals, re-rent, rent to purchase, purchases of cable and distribution, generators, and any key components for rental orders input by the rental sales representatives and rental managers; maintains close vigilance on any back order rentals for rental products or components.
- Builds or enhances relationships with current re-renters and suppliers through regular communication that focuses on current and future demand for rental products and services, as well as any changes in current organizational procedures or policies.
- Assists rental sales representatives in building customer relationships and enhancing demand for company products and services by handling customer calls, addressing concerns, and providing assistance in resolving issues.
- Reviews all rental sales orders; opens and prepares necessary documentation and communicates to appropriate departments and staff regarding production / shipping dates.
- Keeps all sales files current and ensures that all documentation associated with rental orders, including check-ins and outs, are included in the file; reviews all costs associated with rental sales orders and communicates any anomalies to the rental sales representatives or immediate manager.
- Works closely with local management team to review issues and opportunities relating to rental coordination policies and procedures.
- Communicates rental order requirements to all internal departments and ensures each department has the necessary documentation to process the rental order, including work orders, parts pick lists, and product allocation.
- Stays current on any product or service changes that could impact rental rates pricing, availability, or products suitability; communicates any changes to rental sales representatives and / or appropriate internal departments.
