YWCA Banff is looking for a people‑first People & Culture Coordinator to build and strengthen an employee experience. You will play a key role in shaping a growing People & Culture department by supporting hiring, onboarding, people systems, and culture initiatives that help staff feel connected, valued, and set up to thrive. This role reports directly to the People & Culture Manager and helps foster a supportive, inclusive, engaged workplace where every employee has a sense of belonging, feels valued, and is connected to our mission. It also supports People & Culture functions and ensures HR processes run smoothly across every stage of the employee lifecycle.

  • Salary : $50,000 – $60,000
  • Full‑time, Year‑Round Position
  • 37.5 hours per week
  • Hybrid – In‑Office / Work from Home

What You’ll Do

General Responsibilities

  • Serve as a trusted first point of contact for staff and candidates, ensuring every interaction reflects care, professionalism, and YWCA Banff’s values
  • Maintain accurate digital and electronic employee records in Aleta and other HR systems
  • Coordinate recruitment, onboarding, and offboarding activities that contribute to a welcoming and inclusive employee experience
  • Support the recruitment process by posting job ads, screening candidates, coordinating interviews, completing reference checks, and preparing employment contracts
  • Support payroll and HR projects with timely, accurate data and compliance supports (timesheet reminders, tracking, training records)
  • Respond to employee questions related to HR processes, policies, and procedures
  • Coordinate HR projects (meetings, training, surveys), maintain agendas, and record minutes
  • Uphold the highest standards of confidentiality, document management, and data integrity
  • Support additional projects as assigned
  • Recruitment, Onboarding & Employee Life Cycle

  • Coordinate end‑to‑end recruitment logistics, including job postings, candidate communications, interview scheduling, reference checks, and offers
  • Support inclusive recruitment and onboarding practices that reflect YWCA Banff’s feminist and reconciliation values—ensuring culturally safe and equitable experiences
  • Ensure job postings are inclusive, values‑aligned, and representative of YWCA Banff’s culture
  • Maintain recruitment templates, posting records, and job description archives
  • Coordinate onboarding logistics (IT setup, workspace access, benefits enrollment, welcome materials)
  • Manage employment documentation, including contracts, amendments, and onboarding / offboarding forms
  • Support offboarding processes to ensure smooth transitions and positive closure
  • Ensure onboarding materials reflect cultural awareness, land acknowledgement, and Indigenous inclusion principles
  • ALETA / HRIS System

  • Provide administrative support for Aleta, including recruitment configurations, onboarding workflows, and content library management
  • Keep employee files current, including policy sign‑offs and agreement records (e.g., overtime, work‑from‑home)
  • Prepare monthly and quarterly People & Culture reports for leadership and the Board
  • Format and maintain policies, employee handbooks, and People & Culture resources; coordinate acknowledgements and recordkeeping
  • Culture & Engagement

  • Support wellness programs and help coordinate health and engagement initiatives
  • Support employee engagement / satisfaction surveys and compile feedback summaries
  • Coordinate recognition programs to celebrate achievements and milestones
  • Maintain an annual calendar of People & Culture events, training, and initiatives
  • Strengthen internal communication channels to support clarity, connection, and alignment with YWCA Banff’s values and priorities
  • Ensure YWCA Banff’s Advocacy Framework is reflected in HR policies, communications, and training initiatives
  • Health, Safety & Compliance

  • Participate in the Joint Health and Safety Committee (JHSC), record minutes, and track inspection outcomes and follow‑up actions
  • Track safety training attendance and promote workplace safety awareness and compliance
  • Maintain WCB claims, workplace injury, and OHS records
  • Coordinate health and safety onboarding and support ongoing compliance reporting
  • Qualifications & Experience

  • Post‑secondary diploma or certificate in Human Resources, Business Administration, or related field
  • 1–3 years of administrative or HR‑related experience
  • Strong interpersonal communication, organizational skills, and active listening
  • Demonstrated empathy, professionalism, and discretion when handling sensitive information and supporting employee needs
  • Proficiency with Microsoft Office Suite and HRIS platforms (experience with Aleta is an asset)
  • Knowledge of Alberta Employment Standards, WCB, and Occupational Health & Safety regulations
  • Excellent attention to detail, time management, and the ability to manage multiple priorities
  • A passion for collaboration and a team‑focused mindset

  • Position Details

    The People & Culture Coordinator is a full‑time, year‑round position working 37.5 hours per week, with a salary range of $50,000 to $60,000. This role follows a hybrid work model, combining in‑office and work‑from‑home arrangements. The successful candidate must be located in the Bow Valley.

    Housing can be a barrier in the Bow Valley; subsidized staff accommodation is currently available for the successful candidate.
