Job descriptionThe Opportunity: We’re working with a reputable Ontario-based contractor known for delivering complex projects in the commercial, industrial, and infrastructure sectors — including water and wastewater facilities and structures. With a solid pipeline of work throughout Southwestern Ontario, they’re looking to add a Project Coordinator to their dynamic team, operating out of their head office in Waterloo. This role is ideal for an organized multi-tasker who excels in a central office setting while managing and supporting multiple concurrent projects from initiation through to completion. What You’ll Be Doing: You’ll serve as a vital operational hub for project teams, working closely with Project Managers, Superintendents, and client reps to ensure several active projects remain on schedule, on budget, and fully compliant. Your responsibilities will include: - Multi-Project Administration: Coordinating logistics, documentation, and administrative flow across multiple concurrent job sites. - Scheduling & Tracking: Assisting with baseline project scheduling, updates, and milestone tracking using Microsoft Project. - Document Control: Managing project documentation centrally, including submittals, RFIs, shop drawings, change orders, and inspection records. - Procurement & Logistics: Supporting procurement by preparing purchase orders, requisitions, and tracking material deliveries across different job sites. - Reporting & Tracking: Compiling progress logs, financial updates, equipment tracking, and vendor documentation for executive review. - Subcontractor & Vendor Liaison: Coordinating with trades and suppliers to ensure timely submittals, clear communication, and smooth project flow. - Meeting Support: Participating in project startup and progress meetings, recording detailed minutes, and tracking action items. - Site Visits & Connectivity: Bridging the gap between the Waterloo head office and field teams, conducting occasional site visits as needed. What You’ll Need to Be Successful: - 2+ years of experience as a Project Coordinator (or similar role) within a civil, commercial, or industrial construction environment. - Proven ability to manage multiple projects simultaneously with strong prioritization and time-management skills. - Based in or comfortable commuting to the Waterloo head office. - Strong proficiency with project software, particularly Microsoft Project, Excel, and document control systems. - Exceptional written and verbal communication skills with a highly collaborative approach. - Meticulous attention to detail, strong problem-solving skills, and a proactive sense of urgency. Compensation Range: $70,000 - $90,000
