About The Role
The Marketing Administrator is responsible for the Marketing department’s day-to-day operations and supports the development of promotional materials. The Marketing Administrator will provide general administrative support to the marketing team, including managing team tools and databases, managing vendors, compiling reports, and implementing organizational / workflow processes. The Marketing Administrator will also edit and maintain marketing content, such as templates, presentations, brochures, and other collateral.Their team-player attitude, passion for organization and operations, solid work ethic, and project and time management skills will help the Marketing team save time and gain efficiency, gearing the team for success.
What You'll Do Here
Compile reports on a monthly, quarterly, and annual basis
Organize and update the shared drive and intranet as needed
Update the Altasciences website
Upload videos and materials to the employee intranet
Managing team-wide tools, such as Canva, Monday.com, and Getty
Maintenance and management of training / processes
Vendor management
Track department expenses (submit expense reports for corporate credit cards, manage project purchase orders and invoices, etc.)
Support a wide range of marketing collateral and initiatives :
Proofread marketing literature and content
Program client emails in Pardot per the editorial calendar
Create and update PowerPoint presentations
Update marketing literature
Assist with video pre-production (errands, invoicing, set up)
Maintenance and management of staff biographies and headshots
Create and update templates
Is the go-to person for requests for information, logos, templates, photos, etc., and keep the directory of all marketing pieces available for the Business Development (BD) team.
Assist with acquisition and rebranding projects to ensure action items are completed per the timelines.
Any other related tasks and special projects as assigned by management.
What You'll Need to Succeed
Post-secondary in related field (administration, marketing) or equivalent experience
Minimum of 3 years of related experience
Microsoft 365 (Word, Excel, Outlook and PowerPoint, SharePoint, etc.)
Experience working with website backends (CMS) and SharePoint
Bilingual in French and English (written and spoken)

has the ability to work on multiple projects simultaneously with evolving priorities and meeting timelines
is meticulous when it comes to detail and quality
can work autonomously and efficiently
is a strong communicator (written and oral), and is comfortable speaking with vendors

Strong computer literacy (namely Outlook, PowerPoint, Excel, SharePoint, and Word).
Experience using a website Content Management System (CMS).
Experience with video editing tools and software is considered an asset.
