SOMMAIRE


Sous la supervision du directeur adjoint, Approvisionnement, vous effectuerez l’ensemble des tâches liées à la création et à la maintenance des informations sur les articles dans Dynamics 365, ainsi qu’à la validation des interfaces des articles et des commandes.
Vous traiterez et assurerez le suivi des bons de commande et des commandes clients, en plus de réviser et vérifier les commandes et les factures. Au besoin, vous répondrez aux demandes des coopératives et des services internes.



RESPONSABILITÉS

Traitement des commandes


• Traiter les bons de commande selon les instructions et procédures administratives établies.
• Valider dans le système les commandes clients reçues à partir des bons de commande téléversés ou selon la répartition fournie par les acheteurs.
• Mettre à jour, corriger ou fermer les bons de commande et les commandes clients, au besoin, et les transmettre aux acheteurs.
• Vérifier les factures dans le système en validant les numéros de bons de commande et en comparant les prix et les quantités.



Création et gestion des articles


• Créer de nouveaux articles ou mettre à jour les articles existants dans le système selon les informations fournies par les acheteurs.
• Saisir les nouveaux articles et mettre à jour les informations des articles existants dans le système d’approvisionnement.
• Maintenir des informations exactes sur les prix, les produits et la logistique dans le système.



Exactitude des données et intégrité du système


• Effectuer la saisie de données en veillant à ce que les informations soient exactes et complètes.
• Valider les informations relatives aux articles et aux commandes, y compris les données UPC, afin d’assurer la compatibilité avec les exigences de l’entrepôt et de la distribution.



Service à la clientèle


• Répondre aux demandes des coopératives concernant les prix, les codes d’articles, le statut des commandes ou les ajustements requis.
• Communiquer les changements, erreurs ou ajustements liés aux commandes ou aux informations sur les articles aux coopératives et aux services internes.



Soutien administratif


• Fournir un soutien administratif lié à la préparation ou au suivi des bons de commande pour les fournisseurs ou les acheteurs, au besoin.
• Effectuer toute autre tâche connexe demandée par le supérieur immédiat ou nécessaire au soutien des coopératives et des autres services.


SUMMARY


Under the supervision of the Assistant Manager, Purchasing, you will perform all duties related to the creation and maintenance of item information in Dynamics 365, including validating item and order interfaces.
You will process and follow up on purchase orders and sales orders, as well as review and verify orders and invoices. When required, you will respond to inquiries from cooperatives and internal departments.



RESPONSIBILITIES

Order Processing


• Process purchase orders according to established instructions and administrative procedures.
• Validate sales orders in the system based on uploaded purchase orders or according to allocations provided by buyers.
• Update, correct, or close purchase and sales orders as required, and forward them to buyers.
• Verify invoices in the system by checking purchase order numbers and comparing prices and quantities.



Item Creation and Maintenance


• Create new items or update existing items in the system based on information provided by buyers.
• Enter new items and update existing item records in the purchasing system.
• Maintain accurate pricing, product, and logistical information in the system.



Data Accuracy and System Integrity


• Perform data entry while ensuring that all information is accurate and complete.
• Validate item and order data, including UPC information, to ensure compatibility with warehouse and distribution requirements.



Customer Service


• Respond to inquiries from cooperatives regarding pricing, item codes, order status, or required adjustments.
• Communicate changes, errors, or adjustments related to orders or item information to cooperatives and internal departments.



Administrative Support


• Provide administrative support related to the preparation or follow-up of purchase orders for suppliers or buyers, as required.
• Perform any other related duties as requested by the immediate supervisor or to support cooperatives and other departments.




Requirements



EXIGENCES


• Diplôme d’études secondaires ou expérience équivalente, diplôme d’études collégiales (un atout).
• De 1 à 3 ans d’expérience dans un rôle similaire.
• Une expérience dans un rôle de soutien administratif ou opérationnel est un atout.
• Capacité de communiquer en français et en anglais, à l’oral comme à l’écrit.
• Maîtrise de Microsoft Office.




CONDITIONS DE TRAVAIL

REQUIREMENTS


• High school diploma or equivalent experience; college diploma (an asset).
• 1 to 3 years of experience in a similar role.
• Experience in an administrative or operational support role is an asset.
• Ability to communicate in both French and English, verbally and in writing.
• Proficiency in Microsoft Office.
