We are offering a short term contract employment opportunity for an Administrative Coordinator in the non-profit sector.
This role is will be focusing on providing administrative support for educational programs, including scheduling, registration, data collection and entry, and communication with program facilitators and learners.
Responsibilities :
- Coordinate and schedule course offerings in the Learning Management System (LMS)
- Process requests for information from organizations, facilitators, and participants
- Organize and manage the distribution of promotional materials for the program
- Handle workshop / course registrations effectively
- Communicate regularly with facilitators, hosts, and participants
- Collaborate with team members to meet all project deadlines
- Set up elearning courses and manage participant enrollment
- Offer technical support to learners as needed
- Prepare and send out material packages for the program
- Keep track of the program material inventory
- Organize financial data related to the program and prepare invoices
- Collect data from local societies and consolidate it into a provincial spreadsheet for reporting
- Download learner completion reports from the LMS and incorporate them into the reporting template
- Review and ensure the accuracy of communications, data sheets, and other documents
- Develop and maintain spreadsheets to track data / information
- Compile survey results and enter data into relevant documents / spreadsheets / databases
- Handle requests from the public for information and services, and process referrals to the appropriate local society
- Take initiative in sending reminders to team members to assist with workflow and communications as required
- Order program materials as needed and plan and manage shipments of materials as required
- Create invoices for billing and participate in regular project team meetings.
- Experience managing expenses and invoices.
- Experience in handling and prioritizing multiple inbound calls.
- Familiarity with budget processes, including planning, tracking, and reporting.
- Proven ability in managing calendars, coordinating meetings and appointments.
- Excellent communication skills, both verbal and written.
- Proficiency in Microsoft Outlook for email communication, scheduling tasks, and managing contacts.
