Job description

Our client is a well-established North American designer, manufacturer, and builder of specialized commercial infrastructure and controlled environment structures. Serving commercial growers, research institutions, educational facilities, and public sector organizations, they build high-performance, sustainable facilities tailored for operational excellence. To support strong ongoing demand and major project growth anticipated over the next 3–5 years, they are seeking a detail-oriented Engineering Data & Document Control Coordinator.

This position is ideal for an organized professional looking for long-term career stability and advancement within an expanding design-build environment. In this role, you will manage the flow of technical information into the company’s Enterprise Resource Planning (ERP) platform and document repositories. Serving as a central operational link between Engineering, Purchasing, Production, Project Management, and Operations, you will ensure Bills of Materials (BOMs), part data, structural drawings, specifications, and revision-controlled documents remain accurate, current, and accessible across the entire organization.

Advantages
• Long-Term Career Growth: Exceptional career stability and advancement potential tied to a multi-year pipeline of complex structural projects.
• Competitive Compensation & Benefits: Includes a company-matched RRSP program and 100% company-paid healthcare and dental benefits (excluding life insurance).
• Cross-Functional Impact: Play a central role connecting technical design teams directly with supply chain, production, and field execution teams.
• Professional Development: Deepen your technical expertise in manufacturing ERP systems, product structure design, and revision control workflows.
• Collaborative Environment: Join a supportive, process-driven operations team focused on continuous improvement and structural excellence.

Responsibilities
• BOM Management
- Create, maintain, and update Bills of Materials (BOMs) within the ERP system (Seradex).
- Enter assemblies, sub-assemblies, components, and product structures from engineering drawings and design packages.
- Validate BOM accuracy against released engineering documentation.
- Implement engineering changes and update BOMs as revisions are released.
- Ensure proper part numbering, descriptions, units of measure, and revision levels are maintained.
- Verify BOM structures support purchasing, manufacturing, and inventory requirements.
- Identify and resolve discrepancies between drawings, BOMs, and ERP records.

• ERP Data Management
- Maintain item master records and related engineering data within the ERP system (Seradex).
- Ensure all ERP information is complete, accurate, and current.
- Support the setup and maintenance of manufacturing routings and production data where required.
- Perform regular audits of ERP records to maintain data integrity.
- Assist with ERP system improvements and data cleanup initiatives.

• Document Control & Revision Management
- Maintain control of all released engineering drawings, specifications, BOMs, manuals, and supporting documentation.
- Ensure the latest approved revisions are uploaded and stored in the correct company locations, including Seradex, shared drives, SharePoint libraries, or other designated document repositories.
- Maintain organized and standardized folder structures so documents can be easily located and accessed by all departments.
- Archive obsolete and superseded revisions in accordance with company document control procedures.
- Coordinate the release of new and revised drawings with the Engineering team.
- Verify that Production, Purchasing, Project Management, and Operations are working from the most current approved documentation.
- Maintain revision histories and ensure revision changes are accurately reflected across all applicable systems.
- Establish and follow document naming conventions and filing standards.
- Identify and resolve documentation inconsistencies before information is released to manufacturing.

• Engineering Coordination
- Work closely with Engineering staff to understand designs, assemblies, and project requirements.
- Review engineering packages for completeness before ERP entry and release.
- Communicate missing information, errors, or discrepancies to Engineering for resolution.
- Support engineering change order (ECO) and revision control processes.
- Assist in standardizing engineering documentation and release procedures.

• Cross-Functional Support
- Collaborate with Purchasing to ensure material requirements are accurately reflected within Seradex.
- Support Production and Operations with BOM, drawing, and ERP-related inquiries.
- Assist scheduling and manufacturing teams by ensuring released information is complete and accurate.
- Participate in continuous improvement initiatives related to engineering-to-manufacturing workflows.
- Support inventory accuracy through proper maintenance of engineering and ERP data.
- Perform other duties as assigned.

Qualifications
• College diploma or degree in Engineering Technology, Manufacturing Technology, Business Administration, Supply Chain, or a related field preferred.
• Experience working with ERP systems; Seradex experience is considered a strong asset.
• Ability to read and understand engineering drawings, manufacturing documentation, and Bills of Materials.
• Strong proficiency with Microsoft Office applications, particularly Excel.
• Excellent attention to detail and organizational skills.
• Strong written and verbal communication skills.
• Ability to manage multiple priorities and meet deadlines in a fast-paced environment.
• Experience in manufacturing, construction, fabrication, or industrial environments is an asset.

Summary
As an Engineering Data & Document Control Coordinator, you will safeguard the integrity of technical data across the organization, ensuring every project release translates into an accurate, production-ready system. By maintaining a single source of truth for drawings, specifications, and BOM structures, you will help eliminate supply chain errors, reduce shop-floor delays, and drive long-term operational success across a growing portfolio of North American projects.
