About the Role
Planitar is looking for a curious, driven, and service‑oriented Business Systems Administrator to join our growing team, to work alongside our Information Technology team and acting as a systems business partner to our Sales, Marketing, and Operations teams. The Business Systems Administrator is responsible for ensuring our internal systems work seamlessly, integrate effectively, and support our growth. This role combines hands‑on system administration with a strong business‑partner mindset, helping departments get the most value from the tools they rely on every day. You’ll oversee systems such as Smartsheet (Managed Services), ZenDesk (Product Support), HubSpot (Sales & Marketing) ensuring they’re configured efficiently, documented clearly, and integrated across our IT ecosystem.
What You’ll Do
Act as the primary administrator for Planitar’s core business systems, including but not limited to Smartsheet, ZenDesk, and HubSpot.
Partner with department leaders to understand workflow needs and optimize system functionality to support business goals.
Manage configurations, permissions, and integrations across systems to ensure data integrity and smooth cross‑functional processes.
Support new system implementations, upgrades, and rollouts including planning, testing, documentation, and training.
Develop and maintain clear system documentation and standard operating procedures.
Deliver training and guidance to employees to drive system adoption and consistency of use.
Work closely with IT to align system architecture with security, compliance, and data privacy standards.
Continuously assess opportunities to streamline, automate, and integrate processes across teams.
What We’re Looking For
Systems Thinking : Understands how different tools, workflows, and data streams interconnect; anticipates downstream impacts of changes.
Business Partnership : Builds trust and collaboration with department leads to translate operational needs into effective system solutions.
Analytical Problem Solving : Diagnoses system issues methodically and proposes creative, scalable solutions.
Technical Aptitude : Quickly learns new platforms and integrates technical knowledge with practical business context.
Process Orientation : Designs and documents clear, repeatable workflows that improve efficiency and accuracy.
Communication & Training : Explains technical concepts clearly to non‑technical users; promotes adoption through support and education.
Change Agility : Adapts easily to evolving business needs, new tools, and system enhancements.
Attention to Detail : Maintains accuracy in system configurations, documentation, and data integrity.
Proactive Ownership : Takes initiative to identify system improvements before issues arise; drives continuous optimization.
Bonus Points For
3+ years of experience in business systems administration or application support in a multi‑system environment.
Hands‑on experience with ZenDesk, HubSpot, or other equivalent SaaS tools.
Strong understanding of system integrations, automation tools, and data workflows.
Excellent communication and collaboration skills, and ability to translate technical details into practical business solutions.
High attention to detail, strong documentation habits, and a proactive problem‑solving approach.
Experience working with or supporting cross‑functional teams.
Why Join Planitar?
You’ll be part of a supportive and fast‑moving engineering culture, working on real‑world products that blend hardware and software in innovative ways. Your leadership will help shape how our teams build, deliver, and grow our platform.
