Now Hiring : Team Lead, Mailroom Services (Toronto)
This) role involves leading a team of four mailroom staff, interacting with co-workers, relationship managers, vendors, and finance
Key Accountabilities :
Works with the manager, to establish priorities and delegate workload for the team.
Responsible for weekly team check-in meetings.
Coordinate workflow with internal departments.
Monitor workflow and provide assistance and support to team members.
Respond to routine questions, provide information, and direct inquiries to appropriate departments.
Responsible for auditing / reviewing billing for Finance.
Responsible for the continuation of alignment with branch teams.
Assist staff with the identification of priorities and organization of daily work.
Provide procedural support and assist with the resolution of level one escalations.
Provide training to new staff as part of onboarding.
Initiate monthly / quarterly 1 : 1 check-ins with individuals for work performance.
When required provide ongoing and ad hoc refresher training for existing staff as training needs are identified.
Control and maintain postage, courier, and shipping supplies as required.
Maintain accurate records of urgent business mail delivery.
Perform ongoing system testing as required.
Review system-generated reports ensuring turnaround timelines are met.
Perform spot checks on incoming items ensuring receipt is documented.
Perform spot checks on work the team performs, validating strict adherence to P&Ps.
Act as backup to the manager, in an operational capacity.
Liaise with internal and external stakeholders to communicate and resolve any deficiencies and escalate queries to appropriate team members.
Assist Management with other duties as required.
Other duties may be assigned as necessary.
Flexibility with working overtime when required.
Must Have (s) :
Team Leadership experience.
Minimum 1 year experience in corporate / commercial or securities industry, preferred.
Excellent working experience with Microsoft Office Suite (Word, Excel), Google Suite (Gmail / Google)
Database Management
Nice Have :
Proxy / Transfer Agent experience
