We are currently seeking a highly organized, detail-oriented Bilingual Receptionist / Office Administrator who excels in a dynamic environment to join our team.

Job Summary :

The Receptionist / Office Administrator plays a crucial role in supporting the agency's operations and client services. This position is perfect for a proactive multitasker who can efficiently handle administrative duties and ensure seamless office operations.

Key Responsibilities :

  • Communication Management :
  • Answer and manage incoming calls including screening, redirecting, and noting messages.
  • Distribute messages and calls to appropriate personnel or departments.
  • Operational Support :
  • Oversee critical beginning of the day tasks, such as managing non-payments to ensure operational smoothness.
  • Manage 'Messages to Return' boxes, ensuring timely distribution and action.
  • Handle bank deposits and payments with high accuracy.
  • Administrative Duties :
  • Assist in processing and distribution of mail, packages, and deliveries.
  • Support sales and service teams to meet office's client service and sales objectives.
  • Supply and Resource Management :
  • Order and manage inventory of office supplies and essentials.
  • General Support :
  • Assist with document preparation, scheduling, and project coordination as assigned.

Required Qualifications :

  • Associate's degree or higher in office administration, business administration, or a related field preferred.
  • At least 2 years of experience in a receptionist or office administrator role, with demonstrated competency in administrative tasks.
  • Exceptional communication and interpersonal skills.
  • Strong organizational skills with the ability to multitask effectively in a fast-paced environment.
  • Proficiency in MS Office suite and familiarity with office management systems.
  • Commitment to high levels of customer service and support.
  • General Insurance Licensing is preferred (Level 1 or Level 2), but not required at time of interview.
  • Fully bilingual in English and French, with strong written and verbal communication skills.
