Job Summary :
The Receptionist / Office Administrator plays a crucial role in supporting the agency's operations and client services. This position is perfect for a proactive multitasker who can efficiently handle administrative duties and ensure seamless office operations.
Key Responsibilities :
- Communication Management :
- Answer and manage incoming calls including screening, redirecting, and noting messages.
- Distribute messages and calls to appropriate personnel or departments.
- Operational Support :
- Oversee critical beginning of the day tasks, such as managing non-payments to ensure operational smoothness.
- Manage 'Messages to Return' boxes, ensuring timely distribution and action.
- Handle bank deposits and payments with high accuracy.
- Administrative Duties :
- Assist in processing and distribution of mail, packages, and deliveries.
- Support sales and service teams to meet office's client service and sales objectives.
- Supply and Resource Management :
- Order and manage inventory of office supplies and essentials.
- General Support :
- Assist with document preparation, scheduling, and project coordination as assigned.
Required Qualifications :
- Associate's degree or higher in office administration, business administration, or a related field preferred.
- At least 2 years of experience in a receptionist or office administrator role, with demonstrated competency in administrative tasks.
- Exceptional communication and interpersonal skills.
- Strong organizational skills with the ability to multitask effectively in a fast-paced environment.
- Proficiency in MS Office suite and familiarity with office management systems.
- Commitment to high levels of customer service and support.
- General Insurance Licensing is preferred (Level 1 or Level 2), but not required at time of interview.
- Fully bilingual in English and French, with strong written and verbal communication skills.
