Position Overview :
We are seeking a highly organized and proactive Executive Assistant to join our clients team in Surrey, B.C. This pivotal role will primarily involve providing comprehensive administrative support to executives and managing office operations efficiently.
Responsibilities : Executive Support :
Executive Support :
- Serve as the primary point of contact for executives, managing correspondence and communication effectively.
- Coordinate and manage executives' calendars, appointments, and meetings, ensuring optimal use of their time.
- Prepare and organize materials for meetings, presentations, and conferences, ensuring executives are well-prepared.
Office Management :
- Oversee daily office operations, including maintaining office supplies, equipment, and facilities.
- Develop and implement efficient office procedures and workflows to enhance productivity and organization.
- Manage office budgets and expenses, tracking expenditures and reconciling invoices.
Administrative Assistance :
- Handle travel arrangements and accommodations for executives, ensuring seamless travel experiences.
- Draft and proofread correspondence, reports, and presentations, maintaining accuracy and professionalism.
- Assist with special projects and initiatives as assigned by executives, demonstrating flexibility and adaptability.
Communication and Liaison :
- Act as a liaison between executives and internal / external stakeholders, fostering positive relationships and clear communication.
- Coordinate with other departments and team members to facilitate collaboration and information sharing.
- Handle sensitive and confidential information with discretion and integrity.
Qualifications :
- Proven experience as an executive assistant or similar role, preferably in a corporate environment.
- Exceptional organizational and multitasking skills, with the ability to prioritize tasks effectively.
- Strong attention to detail and accuracy in all work performed.
- Excellent written and verbal communication skills, with proficiency in Microsoft Office Suite.
- Ability to work independently with minimal supervision, while also functioning well within a team.
- Discretion and confidentiality in handling sensitive information.
Education and Experience :
- Bachelor's degree in business administration, office management, or related field preferred.
- Minimum of 5 years of relevant experience in executive support or office management.
