Position Summary
Administrative Assistant, Information Technology
In this position, you have the overall responsibility for the day to day operations and administration of the Digital Health - Information Technology, Clinical Informatics, Biomedical Engineering, Telecommunication Department;
provides administrative assistance to the Chief Digital Officer, leadership team members and staff members, as needed.
This position contributes to the shared responsibility of ensuring health and safety policies are followed to provide for a healthy environment for patients, staff, physicians, volunteers and families.
On a practical level, you will
- Word process documents (policies and procedures, reports notices, etc.), formatting presentations using Microsoft Office 365 suite.
- Take and transcribes minutes at IS Staff Meetings, Digital Health Steering Committee and other IS / Clinical Informatics related Committees / Task Forces.
Ensures that meeting dates and rooms are organized and minutes / agendas are sent out in a timely manner.
- Maintain and updates the on-line Kronos payroll system as required, for the Leadership team to sign off within payroll established timelines.
- Prepares expense claims for Leadership team members as needed. Obtains
the required signatures on the original expense claims and sends / delivers to Finance for processing.
- Maintain IS purchasing / invoices process; alerts the Leadership team to vendor irregularities and discrepancies; files invoices and Purchase Orders.
- Data entry for monthly financial and statistical journal entries and other applications, as required.
- Process incoming / outgoing mail for all Information Services & Clinical Informatics staff.
- Liaise with outside organizations to schedule site visits when needed.
- Maintains vendor contract binders.
- File correspondence and other materials for Information Services & Clinical Informatics.
- Regularly checks the stationery cupboard and orders all office stationery and supplies for the department.
- Answer the telephone and arranges room bookings for meetings, site visits, etc.
- Photocopy, sends facsimiles as needed.
- Deliver signed vendor invoices to the Finance Department at 4000 Leslie Street; delivers other items that require direct delivery as needed.
- Book flight tickets and makes hotel reservations for staff attending conferences, etc., as needed. Ensures that authorization forms are submitted to Purchasing in a timely manner.
- Perform other duties as assigned.
Qualifications
- High school graduate; University Degree preferred
- Recent courses in Computer Technology an asset.
- Recent experience with a variety of computer applications, i.e. word processing, spreadsheets, PowerPoint
- Experience in a related role.
- Demonstrated organizational skills.
- Ability to use a variety of software packages, including Microsoft Office 365 suite.
- Ability to prioritize workload and juggle multiple tasks.
- Ability to meet tight deadlines.
- Excellent written and verbal communication skills.
- Effective interpersonal skills and appropriate business-like manner.
- Ability to use office equipment, including personal computer, facsimile, photocopier, printer, calculator, telephone and voicemailing system
- Bilingualism in French / English an asset.
