Hays Specialist Recruitment has partnered with a non-profit in Ottawa, ON. We are looking for a Receptionist to join their team on a contract basis for 3 months with the potential for extension.
This role follows a 5 days in-office working model.
Your new role
- Present a positive and professional image of to all visitors, suppliers, inquiries, and other interactions.
- Prepare simple written messages on behalf of various staff members and in response to general enquiries.
- Incorporate hardcopy documentation into Laserfiche and create subsequent folders for filing. Transfer electronic holdings (drives) into Laserfiche.
- Create workflows for the processing of daily correspondence, including Dropbox.
- Assist in organizing meetings and events by making boardroom bookings and maintaining boardroom(s) after meetings.
- Maintain office supply inventories by recording page counts of copiers, postage machines, and supply logs. Create a monthly report for the finance sector to assign appropriate costs for each respective sector.
What you'll need to succeed
- Successful completion of secondary school or an acceptable combination of education and experience.
- 1 year relevant administrative support experience and 1 year of direct work experience in a receptionist capacity.
- Strong level of computer literacy with demonstrated skills and ability utilizing Microsoft Office (Word, PowerPoint, Excel, Outlook).
- Strong interpersonal and communication skills, with the ability to interact effectively at all levels and with a variety of individuals.
- Demonstrated organizational and time management skills with the ability to multi-task and set priorities.
- Attention to detail and demonstrated ability to gather and collate large amounts of information.
