Job Description
The office of a Conservative Member of Parliament is seeking an executive assistant to support his Parliament Hill office.
The position plays a pivotal role in supporting the day-to-day operations of the Hill office and provides essential support to the in various administrative and organizational tasks.
The ideal candidate is professional, and proactive, possesses exceptional communication and writing skills, and thrives in a fast-paced environment.
Primary duties and responsibilities :
- Coordinate travel arrangements and logistics for the Member.
- Review and discusses commitments, schedules meetings / events, and informs the Member of any changes.
- Manage the Member’s day-to-day planning, prioritization, and delivery of operational requirements.
- Manage the Member’s public email account and incoming mail.
- Draft correspondence including, but not limited to constituents’ letters, inquiries, policy requests, letters of support, and other communications products.
- Manage the Member’s calendar.
- Oversee the preparation of meeting agendas, briefings, and reference materials required by the Member for meetings.
- Maintain a master to-do list of overall activities and ensures all tasks are moving forward and being completed in a timely way.
- Establish and manage processes that enable the effective and timely management, tracking, and coordination of all information, requests, correspondence, invitations, etc.
received by the Member, ensuring that responses and follow-up reflect the Member’s requirements and tie into ongoing quality control and key objectives related to outreach, stakeholder relations, and communications.
Conduct research on various topics, compile data, and prepare reports as needed.
Qualifications
Qualifications
- Post-secondary education from a recognized institution in a related field or an acceptable combination of education, training, and experience.
- Experience working in an office setting providing administrative or executive support.
- Proficiency in Microsoft Office Suite
- Ability to manage competing priorities and adapt to new situations.
- Superior verbal and written communication skills.
- Exceptional judgment and interpersonal skills, and the ability to exercise diplomacy when interacting with the public and stakeholders.
Assets :
- Knowledge of the political environment and / or experience working in a political office setting.
- Professional competency in both official languages.
