Job Description
We have an exciting opportunity for a Medical Operations Coordinator to join our Medical Affairs team. The Medical Operations Coordinator is involved in all departmental activities.
In summary, this role focuses on the coordination of all payment activities for local clinical studies, as a liaison with local and global Finance colleagues on matters related to financial reporting and Inter-Company Billings, as well as assisting the medical advisors and project managers at the portfolio / study level.
For publication activities, the coordinator will be acting as the primary contact and responsible for publication-related inquiries at the local affiliate level.
Also included are the collaboration with local Medical and Health Economics Outcomes Research (HEOR) teams and Global Publications on high quality publications to contribute to the maximization and optimization of local data.
Key responsibilities :
Coordinate the proper processing, forwarding, tracking and reconciliation of all invoices and ACRs (Abbvie Cheque Request) for clinical research activities to finance for payment;
ensure expenses are allocated to proper GL (General Ledger) accounts. Liaise with local accounting group regarding payment runs and invoice processing and identify necessary process improvements.
- Assist Medical team members in answering any ad hoc requests or issues related to studies / projects budgets.
- Coordinate the collection of monthly timesheets from all Clinical Research department members. Submit quarterly reporting of hours worked on local studies to Finance for ICB (Inter Company Billing) purposes.
Prepares analyses of internal hours distribution for management review.
Review and act on the monthly ACRs report, the open POs (Purchase Order) report for accrual purposes; maintain PO closure report and advise local Finance on any action required.
Serve as primary point of contact and subject matter expert for our Affiliate's publication activities, which include collaborate with our local Medical Affairs and Health Economics Outcomes Research (HEOR) teams, coordinate the development of the Canadian publications and tactical plan, as well as the Affiliate's publication activities.
Qualifications
Education / Experience required :
- Collegial level degree an asset
- Financial background or relevant experience mandatory, experience in clinical research an asset
- Relevant experience with solid knowledge of the biotech / pharmaceutical industry.
- Publications, Medical Affairs, or Medical Communications at pharmaceutical companies or medical communication agencies
- Project management or business or administration or coordination role experience.
- Contributing in a multitask environment as well as in a virtual and matrix organization experience.
- Familiarity with Good Publication Practice, ICMJE guidelines and other applicable industry guidelines.
- Experience working in a highly regulated environment.
Essential skills and abilities :
- Proficient with Microsoft Office Suite (Outlook, PowerPoint, Excel, Word, etc.)
- Must be at ease with technology (the use of various tools / systems to perform day-to-day tasks).
- Digital technologies, including but not limited to web, app, email, and mobile tactics experience
