The Project Coordinator, Office of the Secretary Treasurer is responsible for supporting the Secretary-Treasurer and the Senior Business Leadership Team by managing, monitoring, and reporting on a variety of projects and initiatives that involve integration across multiple units and leadership teams, including government directives, contracts, and community partnerships.

The Project Coordinator will deliver project support to district leaders for organizational initiatives, which may include financial, operational, and logistics / efficiency-oriented projects.

The position will also collaborate with leaders to monitor, evaluate and report on impacts, opportunities, and risk mitigation strategies.

KEY RESPONSIBILITIES

Provides project support for the Secretary-Treasurer and Senior Business Leadership team by developing plans and coordinating implementation processes.

Collaborates with leaders to determine project scope, deliverables, and metrics. Develops project timeframes and plans.

Conducts information-gathering and research related to evidence-based and best-practice methodologies for topics such as : Policy standards, organizational structure, document templates and workload management.

Summarizes and presents findings and recommendations.

Develops customer centric metrics (i.e. ticket response times, policy implementation turnaround) to support effective and efficient practices.

Tracking and reporting of senior leadership initiatives to ensure continuous progress and management of associated risks.

Performs current and future state assessments and gap analyses of current processes to support efficiency improvement.

Liaises between leaders and teams, and coordinates information, processes, and timelines with / among teams to facilitate project advancement.

Makes recommendations on training, support, and resource levels needed to achieve positive project outcomes.

Maintains knowledge of the project schedule(s), deliverables and commitments as set out in project charters and work plans.

Identifies and addresses risks and implementation issues.

Monitors project expenditures, reports on variances and informs project sponsors of budget status.

Evaluates project outcomes. Prepares summary reports, briefing notes, and presentations.

Supports Board of Education governance through the development, monitoring, and reporting of leading practices for project management and manages the district’s policies and procedures framework.

Participates on internal and external committees, including project management committee for various topics, such as Artificial Intelligence.

EDUCATION & EXPERIENCE

Bachelor’s degree in related field and three years’ experience. Professional designation and / or Project Management Professional certification considered an asset.

QUALIFICATIONS

Excellent organizational skills. Ability to simultaneously manage multiple priorities and demonstrate excellent time management skills.

Demonstrated ability to work collaboratively with a diverse population, establishing and maintaining effective working relationships with a wide range of people through all levels of the organization as well as externally.

Excellent communication and influencing skills.

Ability to identify and solve complex problems. Takes initiative and problem solves to help arrive at the solution.

Demonstrated use of sound judgement and reliable decision making in a high-pressure environment.

Ability to implement changes in a complex environment and prioritize constrained resources.

Demonstrated proficiency in research, assimilating information, and writing executive briefs.

Flexible, diplomatic, tactful and able to maintain confidentiality.

Ability to make extensive use of information systems and databases to extract, synthesize, evaluate and interpret data appropriate for planning and decision making.

The salary range for this position is : $ 90,291 - $112,864 per year with comprehensive benefits package and Municipal Pension.

Placement in the salary range is determined by an assessment of qualifications and ability to meet the key requirements of the job, and consideration of internal equity comparisons.

The midpoint of the range represents an employee that possesses full job knowledge, qualifications, and experience for the position.
