With an Executive Team of seven, we are looking to expand our support functions to include a skilled Executive Assistant that can lend support the Executive Leadership Team and assist to enhance their efficiency and effectiveness.

Our ideal candidate will be a creative thinker with a superhuman knack for details and the ability to work cross-functionally.

A quick learner and creative problem solver, interested in the bigger picture, you balance a number of projects and responsibilities and are considered the go-to person when something needs fixing.

Responsibilities :

  • Manage complex and constantly changing calendars, scheduling and recording meetings and appointments.
  • Coordinate virtual and in-person meetings, taking and maintaining accurate and comprehensive minutes.
  • Participate in meetings and learning events, and engage in team initiatives and projects.
  • Utilizing financial prudence, plans, recommends and secures complex travel arrangements for the entire company including, flights, hotels and rental vehicles.
  • Provide short-term backup support for colleagues as required.
  • Serve as the point of contact for general communications for the executive team, screening phone calls, emails, mail, and visitors;

route and resolve information requests.

  • Document management : conduct research; prepare correspondence, expense, and statistical reporting; create reports and presentations.
  • Prepare and edit information products, presentations, and reports.
  • Manage various databases.
  • Research and organize data to represent senior management, which may include directors, executives, and committees.
  • Prepare and submit detailed expense reports; reconcile complex statements.
  • Use technical tools and software such as Microsoft Office Suite, especially text processing software and spreadsheets.
  • Act as a virtual assistant and perform other duties as required.
  • Event planning : Engage in planning for corporate events including staff holiday parties, summer picnics, and various other employee events.
  • Participate in executing experiential company events (ie. Holiday luncheon, winter gala, small conferences and or workshops etc.)

Requirements :

  • Minimum three years as an Administrative or Executive Assistant.
  • High school diploma or general education degree (GED) required; associate degree in business administration is preferred.
  • 2-3 years of experience in travel related bookings an asset.
  • Strong verbal and written communication skills.
  • Comfortable with routinely shifting demands.
  • Exceptional attention to detail.
  • Working knowledge of general office equipment.

Please note that the expected new hire salary range provided is derived from a group of like roles within Sunrise Farms. The final offer amount for this role will be dependent on geographical region, applicable experience, and skillset of the candidate.
