Role Summary
The Receptionist / Lease / Accounting Clerk plays an integral role in supporting daily dealership operations. This hybrid position combines :
- Front-desk reception and customer service
- Lease administration
- Accounts Payable (AP) and Accounts Receivable (AR) support
The ideal candidate is welcoming, organized, detail-oriented, and comfortable managing multiple priorities in a busy dealership environment.
Key Responsibilities
Reception & Front Desk
Warmly greet and assist all customers, vendors, and visitors.Answer and direct incoming calls using the dealership phone system.Maintain a clean, professional, and inviting reception and showroom area.Manage incoming / outgoing mail, courier deliveries, and general inquiries.Support Sales, Service, and Parts with administrative tasks as required.Monitor customer traffic and notify the appropriate team members promptly.Schedule appointments or direct customers to the appropriate department.Lease Administration (Lease Clerk Duties)
Prepare, review, and process lease documentation accurately and in a timely manner.Verify completeness of lease files, including customer information, credit applications, insurance, and identification.Work closely with Sales, Finance, and external lenders to ensure proper approval, funding, and documentation.Track lease expiries and support the team with renewal reminders and customer follow‑up.Maintain organized electronic and physical files for lease deals, ensuring all documents meet compliance and audit requirements.Assist with recalculations, payment changes, contract amendments, and payoff requests.Coordinate with accounting to ensure all lease transactions are posted accurately.Accounts Payable (AP)
Match invoices to purchase orders, verify accuracy, and code appropriately.Enter vendor invoices into the accounting system promptly.Prepare weekly payment runs and follow established approval workflows.Reconcile vendor statements and follow up on discrepancies.Maintain well‑organized filing systems for all AP records.Respond professionally to vendor inquiries.Support month‑end processes by ensuring all invoices are posted on time.Accounts Receivable (AR)
Process daily deposits for Service, Parts, and Sales (cash, cheque, EFT, credit card).Reconcile daily cashouts and batch deposits.Prepare and issue customer statements; follow up on overdue accounts when required.Assist Service and Parts with invoice corrections, warranty postings, and billing inquiries.Reconcile AR sub‑ledgers to the general ledger for month‑end.Maintain accurate and organized customer account documentation.Administrative & Dealership Support
Support the Controller with data entry, reporting, document preparation, and general administrative tasks.Provide backup support for other administrative team members during absences or peak periods.Ensure compliance with internal controls, privacy standards, and dealership policies.Assist with dealership events, customer initiatives, and general office coordination as needed.Qualifications & Requirements
Previous experience in reception , accounts payable / receivable , or lease administration required; dealership experience considered a strong asset.Proficiency with Microsoft Office (Excel, Outlook) and familiarity with dealership or accounting software (e.g., PBS , Dealertrack, vAuto) is preferred.Strong customer service skills with a warm, professional, and welcoming demeanor.Exceptional attention to detail and accuracy.Ability to manage multiple tasks in a fast‑paced environment.Strong communication skills and a commitment to teamwork.Ability to maintain confidentiality regarding financial and customer information.Reliable, punctual, and highly organized.If you believe you’d be a great fit for this role and our team, we’d love to hear from you!
