Logistics and Order Fulfillment Coordinator
Xtract One Technologies is seeking a Logistics and Order Fulfillment Coordinator to join the Supply Chain team in Operations. Reporting to the Supply Chain Director, this role is responsible for managing customer order logistics and tracking, including customer demos and other marketing events support. This is a great opportunity to join a fast‑paced entrepreneurial start‑up with broader responsibilities than a typical corporate role. Responsibilities
- Acts as the primary liaison between Xtract One and 3PL partners, customers & customs brokers
- Ensure product shipments are delivered safely and on schedule
- Create commercial documentation for both import and export shipments with multiple modes of transport and may include creation of shipping labels
- Track location and condition of all Sales Demo kit assets, managing all venue forward and reverse logistics
- Maintain shipment logs and records of incoming & outgoing shipments
- Work effectively with other supply chain team members to accurately track, receive & support inventory records
- Tactful communication with customers to coordinate all relevant shipping details on both ends. Manage related packaging requirements or ‘white glove’ logistics service needs
- Collaborate cross-functionally with key stakeholders, Sales, Engineering, Marketing, & Finance
- Support Customer Success Team of Field Service Engineers with timely coordination of equipment arrival and their travel planning
- Work with contract manufacturers to confirm order status dates and shipment readiness
- Plan the logistics and track shipment of final products according to schedule requirements
- Support customer RMA returns with Customer Success team and Mfg Engineering
- Monitor email communications, handle direct phone calls, and participate in conference calls with customers
- Will include other duties as needed by the business
Qualifications
Bachelor’s degree or Diploma in business or technical major from an accredited University or CollegeMust have minimum 5+ years logistics experience, possibly with a 3PL, and preferably with complex technology product expertiseKnowledge and experience with customs procedures for both import and export shipmentsCertification or enrollment in APICS or PMAC is preferredAs this is a customer facing role, must possess strong verbal and written communication skillsA high level of data management proficiency MS Excel / macros / pivotsERP process workflows expertise in a physical product industry context is highly valued (Epicor ideal)A highly organized individual, some prior project experience beneficial and / or formal PM trainingWork effectively both within a team and independently; have demonstrated initiative, adaptability, and problem-solving creativity in prior roles; takes pride in their own quality of workProven ability to efficiently handle multiple concurrent tasks and prioritize effectively in a fast‑paced environmentXtract One is committed to creating an inclusive, accessible work environment and providing accommodation for individuals with disabilities in accordance with the Accessibility for Ontarians with Disabilities Act (AODA) and the Ontario Human Rights Code.
