Position Type : Full-time (in-office with possible remote work flexibility)

Position Overview

At Port Moody Health, we are seeking a dynamic and experienced Business Manager to join our team and play a crucial role in enhancing the growth and efficiency of our business.

We are experiencing an exciting growth phase, providing significant opportunities for professional development and career advancement for our team members.

The Business Manager will oversee office operations, manage HR functions for the front office and nursing teams, and drive new client sales initiatives.

This role is essential for ensuring the smooth functioning of the office, fostering a positive work environment, and converting inquiries into loyal patients through professional and empathetic interactions.

As the Business Manager, you will be an integral part of our leadership team, contributing to key strategic and operational decisions for Port Moody Health.

You will frequently collaborate with our team of doctors, front office and nursing teams, and our valued patients, ensuring that our high standards of care and service are consistently met.

Key Responsibilities

Office Operations

  • Oversee daily office operations to ensure efficiency and effectiveness.
  • Implement and maintain office policies and procedures.
  • Manage office budgets, expenses, and financial reporting.
  • Ensure compliance with regulatory and organizational standards.
  • Coordinate with vendors and service providers to maintain office supplies and services.
  • Oversee corporate IT functions.

Human Resources

  • Manage HR functions for the front office and nursing teams, including recruitment, onboarding, training, performance management, payroll, and vacation requests.
  • Manage HR functions for new doctor hires including onboarding, payroll, and vacation requests.
  • Foster a positive and collaborative work environment.
  • Address employee concerns and resolve conflicts in a timely manner.
  • Develop and implement employee development programs.
  • Ensure compliance with employment laws and regulations.

Marketing

  • Work in conjunction with marketing contractors to optimize the marketing initiatives of the company including website performance, paid ads, and social channels.
  • Oversee the alignment and effectiveness of on-site marketing including displays, TV slides, handouts, posters, and other location based marketing initiatives.

New Patient Acquisition

  • Conduct initial consultation calls with potential new patients, providing a professional and empathetic experience.
  • Manage the conversion process from inquiry to first appointment.
  • Develop and implement conversion strategies to achieve targets.
  • Aid in optimizing the company’s sales process, including the use of CRM software.
  • Collaborate with the marketing team ensuring alignment with the sales process.

Qualifications

  • Bachelor’s degree in Business Administration, Management, or a related field.
  • Proven experience in office management and HR.
  • Previous experience in sales or client services is preferred but not required.
  • Medical office experience is an asset but not a prerequisite.
  • Proficient in various software including MS Office.
  • Knowledgeable in, and a user of, key social media platforms including Instagram and Facebook.
  • Legally eligible to work in Canada.

Compensation and Benefits

  • Salary : $65,000 to $80,000 annually, commensurate with experience.
  • Performance bonus based on new patient acquisition, and overall performance.
  • Excellent extended health benefits package after 3 months.
