Operations Manager (OM) – Extendicare
The Operations Manager supports the Home Administrator and other supervisory staff to ensure smooth operations of the facility. This role leads the administrative team supporting home operations.
Key Responsibilities
- Lead the administrative team to deliver seamless and quality services for residents, families, and employees.
- Process and verify invoices, payments, and remittances related to third‑party providers, including agency staffing and independent contractors, and maintain external vendor relationships.
- Handle payments from families and address all billing queries from residents and families; manage resident intake, setup, ongoing billing, collections, and discharges.
- Administer and maintain financial records including banking, petty cash, resident trust, and government funding programs.
- Maintain and update resident and employee census records while ensuring confidentiality of all financial, personnel, and resident data; create and communicate job postings for home / facility positions.
- Oversee onboarding of new employees, recruiting activities at the home, Time & Attendance, and Open Shift Management.
- Adhere to established policies and procedures regarding quality assurance, fire safety, occupational health and safety, environment, and infection control.
- Manage applicant screening, including reviewing applications, conducting reference checks, and validating pre‑hire requirements such as candidate certifications.
- Act as a subject‑matter expert to hiring managers at the facility level on effective recruitment and onboarding best practices.
- Manage end‑to‑end recruitment processes—interviews, reference checks, and validation of pre‑hire requirements—create offer letters, coordinate new‑hire packages, and deliver an exceptional onboarding and orientation experience for business‑office new hires.
- Assist the Director of Care with annual audits, reporting, and follow‑up of professional credentials for registered staff (Nursing and Allied Health).
- Collaborate with the home administrator to coordinate communications with home staff through team meetings, notice boards, and e‑mail.
- Participate in planning and executing employee engagement events and service awards.
