About the Job
We are hiring a Document Control Coordinator to step into an existing role, on our Document Control team, on the Pape North Connect project. This position reports to the Information Document Control Lead.
What You Will Be Doing?
- Process all incoming and outgoing documents (document, drawings, correspondences) within various project systems (Aconex, Unifier, ProjectWise) as per client requirements
- Perform prescribed Quality Assurance & Check (QA / QC) on all submissions to the client
- Allocate project document drawing numbers as per project numbering convention
- Identify and coordinate with project team for any issues or discrepancies raised by project members or client
- Work closely with project members providing training related to document control project processes and assisting with the submission requirements when required
- Ensure achievement of established turnaround time from receipt of request for distribution to completion of processing and distribution of documentation by processing the submissions in a timely manner
- Assist project team with using, creating, developing, and extracting reports from Oracle Aconex System
- Assist in the maintenance of a reporting system to track NCR’s, RFI’s, CO’s and other documentation deemed critical by the project
- Identify and escalate process and system issues to the Document Control Manager in a timely manner
- Maintain the project distribution matrix within EDMS (Aconex)
- Identify opportunities for continuous process improvement and monitor for new and emerging software solutions
- Follow up with all discipline personnel for action items
- Ensure document data complies with implemented procedure and policies
- Maintain confidentiality around sensitive information and terms of agreement
- Retrieve files as requested by individuals from different disciplines
- Prepare ad-hoc reports on projects as needed
What We Are Looking For?
Completion of a diploma in a related discipline or a combination of education, training, and experience in Document Management1-2 years of experience in document management, quality control, data entry and administrate fieldsAdvanced proficiency with applicable software applications in related field (MS Office, Adobe Acrobat Professional, & SharePoint)Experience with Aconex and Unifier is considered an assetKnowledge of project documentation and engineering terminologyStrong written, verbal, communication, and interpersonal skillsDetail-focused and good at managing time and workloadAbility to accurately and efficiently setup, create and maintain documentation metadataAbility to interpret and follow process, procedures, workflows and standardsStrong follow up skills and efficient ability to coordinateExperience working in a project team environment with ability to build relationships with team members, clients, third parties and subcontractorsAbility to meet deadlines in a fast-paced environment, deal with pressure in a professional manner and effectively deal with and adjust quickly to changing prioritiesCompensation :
Successful candidates chosen for this position can expect to earn between $60,000-$100,000. The exact salary you will earn within this range is dependent on the specific project to which you are assigned.
