Our Ideal Candidate

We are looking for a Manager of Project Administration and Billing to join our Project Management team for crucial support of a variety of Company Projects.

This position can be situated in our Vancouver, Calgary, or Edmonton offices with direct reporting to the Director of Project Management.

A Day in the Life

As the Manager of Project Administration and Billing, you will lead the team that provides crucial administrative support for Company projects.

This role ensures that all project administration tasks, such as project set up, documentation, rate assignment, revenue recognition, invoicing, and collections, are performed according to the company’s standards and project management methodologies.

The Manager collaborates with Project Managers, Finance, PMO, and other departments to support the successful delivery of projects across the organization.

Your resonsibilities will include :

  • Select, supervise, mentor, and support a team of Project Administrators to enhance their technical skills, performance, and communication with all Stakeholders.
  • Conduct regular team meetings, provide training, and identify opportunities for professional development.
  • Set and monitor performance goals, KPIs, and conduct performance reviews for team members.
  • Serve as the primary liaison between Project Administrators and other departments.
  • Facilitate effective communication across teams to ensure that project needs are clearly understood and met.
  • Provide regular reports to senior management on team performance, project status, and administrative challenges.
  • Collaborate with the Finance, and PMO to develop and implement best practices in project administration, including tools, templates, and workflows to improve efficiency and streamline processes.
  • Assist in development of processes that ensure accurate tracking and reporting of project costs, milestones, and deliverables within the project management system enhancing decision making and accountability across the project lifecycle and project close out.
  • Ensure accurate project set up, documentation, rate assignment, and revenue recognition.
  • Report project costs, milestones, and deliverables enhancing decision-making and accountability across the project lifecycle and project close out.
  • Act as a point of escalation for project administrative issues, providing solutions and guidance.
  • Act as a subject matter expert in the Projects module within the Company’s ERP -BST, ensuring it remains an accurate, reliable source for project financials and data integrity.

Provide expertise, support, and troubleshooting assistance to Project Administrators (PAs) to enable efficient system use and uphold data standards across projects.

  • Lead timely and accurate invoicing processes and distribution to clients including client portal management.
  • Lead client payment collection activities.
  • Identify and address potential risks within project administrative processes, proposing mitigation strategies as needed.
  • Analyze and resolve administrative bottlenecks or issues that could impact project timelines or budgets.

What You’ll Bring to the Team

  • Post secondary education is preferred, such as a degree in Accounting or Business
  • 5 plus years’ experience in a similar role leading project administrators preferably in an engineering or consulting environment
  • Understanding of revenue recognition
  • Experience in complex project invoicing
  • Experience in client collections
  • Experience with BST Global or similar Enterprise Resource Planning (ERP) systems
  • Proficiency in Microsoft office; intermediate knowledge of Excel
  • General knowledge of contracts
  • Strong attention to detail, organizational and time management skill
  • Excellent communication skills both written and verbal
  • Team player with a focus on customer service
