TEMPORARY SCHOOL ADMINISTRATION SUPPORT ANALYST 35 Hours Per Week - 12 Month Position - Full Time (1.0 FTE) Start Date : ImmediatelyQualifications Successful completion of a two-year community college office administration program plus a minimum of five years of related job experience in student data systems, ministry reporting, board and school policies and procedures, or equivalent;
Strong abilities in a computerized environment utilizing word processing and spreadsheet applications. Working knowledge of the OnSIS / OEN application and support of a Student Administration System, Student Academic Warehouse, Baragar, SchoolCash.
- Net, Internet forms and applications; Demonstrated ability to function effectively in a fast-paced office environment with excellent time management, organizational, analytical and problem-solving skills;
- and the ability to manage multiple assignments / projects with similar deadlines; Strong interpersonal communication skills with ability to function effectively with school administrators, staff, outside agencies and others;
- Strong written and verbal communication skills, as well as excellent telephone manners; Ability to maintain discretion with confidential information;
Knowledge of OnSIS Business Rules, the Education Act, Freedom of Information and Protection of Privacy Act and Ministry Guidelines as they relate to access to student information as well as knowledge of Board policies and procedures related to student information in schools.
Ability to work independently and in a team environment. Self-motivated learner with a strong commitment to the use of technology in education and the ability to learn emerging technologies, software and trends.
Must have reliable transportation to travel to various sites within the Board. Must be flexible, determined to resolve issues and have the ability to troubleshoot, answer questions and provide training.
Duties / Responsibilities Provide ongoing support to elementary and secondary school secretaries, principals and SERTs for school related administrative / clerical tasks in the following areas : School Start Up Month End Enrolment Year End Spec Ed Grade 8 student transition Suspension / Expulsions Attendance Registers OSR Guidelines Record Keeping & Data Management Document Preparation School Banking Scheduling Pre transition Preregistration School organization Monitoring and verification of the following data for all schools : student biographical, registration, attendance, and enrolment data educator assignments and required Ministry data pertaining to educators Ministry of Education Reporting and Data Management ensuring that all data extracted meets Ministry requirements.
Validate reports within the student information systems. Validate all numbers submitted and signed off at the school level for funding and grants with the Ministry.
Assist with the roll-out of the next generation of Student Information System (Pearson, Trillium, other). Develop, create, implement, and maintain data solutions for data analysis and OnSIS / Ministry reporting demands.
Assist with the research, analyzing, and identification of the needs of school secretaries and other staff, and provide professional development as appropriate.
Assist secretaries in preparation and reconciliation of October, March and June Ministry Reporting. Provide system level support for OnSIS, to the Human Resources Dept.
the Finance Department, the Transportation Dept. and other Central Office Departments by evaluating and supporting system changes and initiatives and resolving discrepancies with school and system data.
Provide support to the Business Analyst and Human Resources Dept. in the utilization of Baragar for the purpose of school enrolment analysis, staff allocation, school boundary analysis, enrolment projections and school organization scenarios, as well as assess and identify data issues / discrepancies and align school data with board data prior to OnSIS data submission.
Communicate with and assist the Supervisor of Data Services on functions related to secondary school OnSIS. Work with the Finance Department to develop and implement standardization and consistency of categories / accounts in SchoolCash.
Net as well as requisitions, paper trails, and retention of records / receipts within the schools. Develop New Hire Intake Training Program for secretaries including development of a school secretary resource guide outlining board mandated policies and procedures as well as school office administration policies and procedures.
Provide support to school secretaries and central office staff in the area of records and documentation management with respect to data classifications, collection and retention.
Provide assistance with the administration of international students. Assist in streamlining and standardizing school office administration procedures including development of standardized forms, checklists, registration packages and reference guides.
Provide support to the Finance Department on the implementation and school training of an electronic Purchase Order System.
Develop and maintain identification protocol for supply teachers, temporary support staff and visitors in schools. Perform other related duties as assigned by the Superintendent of Business or designate.
