Senior LAA - Accounts Receivable coordinator

Key Responsibilities
Legal Administrative Duties
- Organization of documents in binders
- Prepare open matter reports, file opening procedures and request / gather all necessary client documentation
- Prepare closed file reports, strip files, organize file materials
- Assist with organizing meetings and scheduling appointments
- Print / copy / scan / save documents in document management system
- Amend draft of pleadings, reports, letters and summaries
- Prepare expense reports
- Other various general administrative duties, as required
Accounting Duties
Oversee all accounting, billing and payment tasks on the desk, including :
o Prepare and review monthly prebills in accordance with firm standards
o Maintain and update exception rates and update billing rates when required
o Issue monthly accounts receivable packages
o Follow-up with clients on outstanding account receivables as directed by the PMC
o Provide monthly account updates to the PMC
o Other accounting duties as required
Qualifications
- Completion of an accredited Legal Administrative Assistant program
- Minimum of 3 years’ experience working as a Legal Administrative Assistant
- Accounts receivable experience and collections knowledge and experience considered an asset
- Excellent spelling, grammar and proofreading skills
- A strong orientation to delivering a superior standard of service
- Good technical skills including Outlook, MS Word and MS Excel
- Prior experience with Elite 3E considered an asset
- High level organizational skills with a strong attention to detail to produce quality and accurate work
- Ability to prioritize tasks by deadline, work calmly under pressure and manage high volume of work in a fast-paced environment
- Proven ability to take initiative and be proactive, as well as follow instructions and adhere to strict deadlines
- Strong interpersonal skills and the ability to build rapport with lawyers, paralegals and legal assistants
- Ability to work effectively both independently and as a contributing member in a team environment
- Positive, professional, can-do attitude
- High level of accuracy and attention to detail
