Position : Administrative CoordinatorLocation : Downtown TorontoSalary : $30 to $34 per hour dependent on experienceJob Type : 4-6 month contract (possibility of extension)Hybrid : 3-days onsiteQuantum is seeking a highly experienced Administrative Coordinator to provide comprehensive support to their Ontario Government client, which will include managing complex schedules, coordinating meetings, preparing reports, and handling a variety of inquiries.
You will also oversee expense tracking, assist with document preparation, and provide direction to administrative staff, acting as a key resource for the team.
Key Responsibilities : - Manage calendars and emails for management, including scheduling meetings, prioritizing communications, and resolving issues using sound judgment.
- Coordinate travel arrangements for management and external parties, ensuring compliance with budgets and policies.- Screen and triage internal and external inquiries, using discretion to handle sensitive or confidential matters.
- Maintain specialized records, track attendance, timesheets, and overtime, ensuring adherence to company policies and standards.
- Lead meeting and event coordination, including planning large-scale events, booking venues, organizing logistics, and preparing meeting materials.
- Provide technical support and guidance to administrative staff, acting as a resource for system processes and troubleshooting.
- Track and report on team expenses, budgets, and prepare expense claims, ensuring accuracy and timely submission.- Prepare complex reports, presentations, and documents, compiling data, proofreading, and formatting materials for both internal and external stakeholders.
Qualifications : - Completion of a college diploma or equivalent work experience, with a focus on business administration or a related field.
- Extensive senior administrative experience, preferably supporting multiple senior management or executive-level staff.- Deep understanding of office procedures, with experience managing sensitive and confidential information.
- Strong organizational skills, with the ability to manage multiple priorities in a fast-paced environment.- Excellent communication (verbal and written), interpersonal, and relationship management skills, with the ability to engage effectively across all levels of the organization.
- Proven experience with event planning and meeting coordination.- Strong attention to detail, problem-solving skills, and the ability to exercise independent judgment.
- Advanced proficiency in Microsoft Office (Word, Excel, PowerPoint), with experience preparing reports, presentations, and documents for executive-level review.
