Our client, an international manufacturer of automated doors, is seeking an experienced Service Dispatch Coordinator for their Richmond hill, ON branch office. This position will report to the VP, Sales and Branch Operations.
Position Summary
The Key Account Service Coordinator is responsible for being the single point of contact for key client's service needs. Preparing reports, coordinating regional teams, and following up with key client stakeholders are among some of the key accountabilities.
Essential Functions
Send and receive correspondence, including telephone and emails, to / from client maintenance departments, service systems, and retail store managers.
Coordinate and delegate service requests to local regional teams.
Ensure rates (including labour, mileage, etc.) are disclosed and confirmed by all relevant stakeholders.
Enter proposals as required.
Order parts for service and warranty work.
Follow-up with distributors to ensure work is completed in a timely manner.
Follow-up with client contact to ensure satisfaction with work completion.
Generate an accounting packet with distributor invoice, pricing, sales order and purchase order.
Ensure client is invoiced in a timely manner.
Process credit card payments for key clients.
Qualifications
Knowledge, Skills, Abilities
Ability to act with a sense of urgency.
Strong communication skills, both verbally and in writing.
Excellent organizational skills.
Ability to process transactions with accuracy and attention to detail.
Ability to perform multiple tasks simultaneously and remain calm under pressure.
Solid computer skills including Microsoft Office Suite and other software specific to the process.
Knowledge of construction industry service or pedestrian entrance system service.
Education, Training, Experience
3 - 5 years of customer service, call center, or dispatch experience required.
Relevant post-secondary education or relevant combination of education and experience.
Able to use accounting software : SAP.
Working Conditions and Physical Demands
Clean office environment.
No lifting required.
May be subject to tight deadlines from time to time.
