The Facilities / Office Manager is responsible for supporting the Director of IT and Facilities in managing the facility's day-to-day operations.

This role involves a combination of administrative duties, facilities / office management, and supporting the Facility Production Assistants (FPAs).

The successful candidate will ensure efficient and effective operation of the facility, maintain a high standard of customer service, and contribute to a safe and productive workplace.

This position is full-time in studio role.

In this role you will :

Administrative Support : Manage phone systems, redirect calls, take messages, and answer inquiries.Handle local and international courier administration.

Greet clients and visitors and manage front desk operations.Perform filing and data entry tasks.Manage petty cash, credit cards, and other financial tasks.

Uphold a cohesive and uniform corporate aesthetic across the facility.Participate in Culture Club meetings and planning sessions.

Facility Management : Liaise with building management and landlords regarding maintenance issues.Be reachable in non-working hours in case of building emergency.

Ensure timely resolution of customer concerns such as security, HVAC, and ergonomics.Coordinate internal office movements, including setting up workstations.

Maintain and manage facility archiving and records storage.Administer facility asset tracking (, office furniture, keys).

Oversee security system management and coordinate fire warden programs.Oversee craft services, including sourcing new caterers.

Support to Facility Production Assistants (FPAs) : Train and mentor new Facility Production Assistants.Task manage the FPA group and provide support as needed.

Use ticket systems to resolve facility-related tickets.

Health and Safety : Chair the Occupational Health and Safety Committee.File WorkSafe BC incidents, and reports for WCB claim requests.

Ensure compliance with WorkSafe guidelines, and fire and company safety protocols.

Vendor and Budget Management : Establish and manage major vendor corporate accounts for office supplies, equipment, and services.

Manage department spending to the approved budget and assist in budget creation.

Event and Project Coordination : Coordinate company events and community outreach for local discounts.Support environmental and sustainability initiatives within the facility.

Interacts respectfully and professionally with colleagues, other staff members, partners, and clients.

Need to have :

  • Excellent verbal and written communication skills.
  • Strong organizational and prioritization skills.
  • Proven ability to multi-task and handle high-volume needs.
  • Proficiency in Microsoft Office Suite (Excel, Word, PowerPoint) and Google Suite.
  • Ability to perform light to moderate lifting, prolonged sitting and standing, and repetitive stress tasks.

Nice to have :

  • Previous experience in a Facilities or Office Manager role or a related field
  • First Aid Level II certification
