Primary function

This position is responsible for providing administrative support for the Director and Senior Advisor of the Immigration and Refugee Law Department. The successful candidate is able to manage a high volume of work in a fast-paced work environment and has strong oral and written communication skills. They are highly organized, responsive and proactive; they have strong attention to detail, judgement, and problem-solving skills; and they are comfortable interacting with external stakeholders, including roster lawyers and clients.

Reports to: Director, Immigration and Refugee Law Department

Key accountabilities

Overall Administrative Support
• Respond to in-person, written and phone inquiries from lawyers, clients, internal LAO departments, and other external stakeholders;
• Schedule meetings, process monthly expenses, and support Director and Senior Advisor with other duties as assigned;
• Develop agendas for regularly scheduled meetings; attend and take minutes;
• Manage a high volume of work and compile information for statistical purposes, analysis and reporting;
• Act as a backup administrative resource for Refugee Law Office managers, if required.

Roster Management and Complaints
• Monitor I&R inbox, respond to communications, connect individuals to the appropriate department;
• Update, prepare and review reports related to roster management;
• Work with other LAO departments to gather information on roster lawyers;
• Draft letters, emails and schedules for the Director;
• Support the I&R Department in managing roster lawyers and client complaints;

Stakeholder Events/Meetings/Conferences
• Organize continuing professional development events along with planning committee staff;
• Set up information sharing sessions with local agencies;
• Attend local events as required.

Required skills & experience

• Well-developed written communication skills, including attention to detail;
• Significant knowledge of LAO priorities, policies and procedures;
• Experience drafting letters, business notes, and memos;
• Relevant administrative skills;
• Ability to multitask and meet internal case management deadlines;
• Experience managing projects is an asset;
• Experience with data analysis and preparing statistical reports is an asset;
• Experience with refugee and immigration law is an asset;
• French language skills are an asset;
• Intermediate to advanced skills in Microsoft Word, Excel, Powerpoint, Sharepoint, Outlook and MS Teams
• Intermediate to advanced knowledge of PeopleSoft, Legal Files and other programs used by LAO is an asset
