Job Summary

Reporting to the Director, Event Fundraising & Strategic Partnerships, the Event Fundraising Coordinator plays a key role in supporting the planning, administration, fundraising, stewardship, and participant engagement activities for Baycrest Foundation's signature fundraising events, including Mattamy Homes Bike for Brain Health, Pro-Am for Alzheimer's, Pickleball for Brain Health, and other assigned initiatives.

The Event Fundraising Coordinator serves as a primary point of contact for participants and donors, helping to deliver an exceptional supporter experience through responsive service, fundraising assistance, stewardship activities, and event-related communications. The role supports event operations through participant tracking, data management, reporting, registration and donation administration, and coordination of fundraising activities and materials. By fostering strong relationships with stakeholders, maintaining accurate processes and records, and contributing to the successful execution of fundraising events, the Event Fundraising Coordinator helps increase participation, strengthen donor engagement, and advance the Foundation's fundraising and community engagement goals.

This is a hybrid position requiring a minimum of three (3) days per week in the office, with the flexibility to work remotely on the remaining days.

Given the nature of fundraising and donor engagement activities, this role requires flexibility to work outside regular business hours, including evenings and weekends, to support and attend Foundation events, donor functions, committee meetings, and other related initiatives.

Key Responsibilities

Participant Engagement & Fundraising Support

  • Serve as a primary point of contact for participants, donors, and community members for Bike for Brain Health, Pro-Am for Alzheimer's, and Pickleball for Brain Health, responding to inquiries in a professional, timely, and solutions-focused manner and escalating complex issues as appropriate.
  • Support participant recruitment, registration, retention, and engagement initiatives to help achieve event participation and fundraising objectives.
  • Provide fundraising support to participants, including sharing fundraising resources, troubleshooting fundraising platform issues, and assisting with fundraising-related inquiries.
  • Assist in the delivery of participant and donor stewardship activities, including welcome, recognition, and post-campaign thank-you initiatives.
  • Support communications and relationship-building activities with participants, donors, sponsors, volunteers, and community partners to enhance engagement and the overall participant experience.

Event Fundraising & Operations

  • Support the planning and execution of peer-to-peer fundraising events, including Bike for Brain Health, Pro-Am for Alzheimer's, and Pickleball for Brain Health, ensuring assigned deliverables are completed accurately and on schedule.
  • Coordinate assigned event fundraising, stewardship, and operational activities, including tracking timelines, deliverables, and follow-up actions in collaboration with the Events team.
  • Provide administrative and operational support to the Director, Event Fundraising & Strategic Partnerships, Manager, Event Stewardship, and other team members to support fundraising and engagement objectives.
  • Assist with sponsorship and partnership stewardship activities, including communications, recognition, and follow-up with sponsors and community partners.
  • Manage multiple projects and competing deadlines while maintaining an elevated level of accuracy, service, and professionalism.

Data Management, Reporting & Communications

  • Support fundraising operations through participant tracking, data entry, reporting, database updates, and the administration of established event processes and procedures.
  • Ability to adapt communication methods (including telephone, SMS, email, video calls, and in-person meetings) to build strong relationships, encourage fundraising participation, and support event commitment.
  • Assist with fundraising analysis, report preparation, and revenue tracking to support event performance monitoring and decision-making.
  • Collaborate with Events, Marketing & Communications, and Philanthropy teams on participant communications, outreach initiatives, and engagement activities.
  • Monitor participant-facing systems, websites, and online fundraising platforms, identify issues, and coordinate solutions with appropriate internal teams.

Event & Team Support

  • Assist with the preparation, packaging, distribution, and mailing of event materials, fundraising incentives, stewardship items, and participant resources.
  • Attend fundraising and community events as required, including occasional evenings and weekends, to support event execution and participant engagement.
  • Collaborate with the Events team on fundraising, donor engagement, stewardship, and special projects as required.
  • Perform other related duties and responsibilities as assigned.

Qualifications

  • Post-secondary education in fundraising, communications, marketing, event management, business, nonprofit management, or a related field, or an equivalent combination of education and experience.
  • One to two (1-2) years of relevant experience in fundraising, event coordination, customer service, administration, or related field.
  • Experience in a healthcare, nonprofit, or charitable organization is considered an asset.
  • Experience supporting fundraising events, donor and participant engagement, stewardship activities, or volunteer programs is considered an asset.
  • Strong verbal, written and interpersonal communication skills, with the ability to build positive relationships with donors, participants, volunteers, sponsors, community partners and colleagues.
  • Excellent organizational, time management and prioritization skills, with the ability to manage multiple priorities and meet deadlines in a fast-paced, goal-oriented environment.
  • Strong attention to detail and accuracy, particularly when maintaining donor and participant records, processing donations and preparing reports.
  • Self-motivated and collaborative team player with strong problem-solving skills, sound judgment and the ability to work independently while knowing when to seek guidance.
  • Proficiency with Microsoft 365, including Outlook, Word, Excel, PowerPoint and Teams; experience with fundraising, CRM, event management or registration platforms is an asset, particularly Blackbaud products such as Raiser's Edge NXT or TeamRaiser.
  • Ability to learn and effectively use fundraising, reporting, participant management and constituent relationship management systems, and to support process improvements based on participant feedback and experience.
  • Knowledge of fundraising and donor stewardship practices, including acknowledgements, recognition and post-event communications, as well as applicable privacy, legal and ethical requirements.
  • Demonstrated professionalism and enthusiasm, with the ability to represent the Baycrest Foundation positively and a genuine commitment to its mission and community.
  • A Police Reference Check, including a Vulnerable Sector Screening, is required as a condition of employment.

Compensation

At Baycrest, we take pride in ensuring our compensation structure is internally equitable and compliant with pay equity legislation. We believe compensation should be transparent, equitable, and reflective of your experience and growth. Our salary ranges are structured to support progression, from learning the role to demonstrating full proficiency.

The salary range for this position is $53,182 to $66,478 per year.

Your placement within the target hiring range will depend on your job-related knowledge, skills, abilities, and relevant education and experience, as well as considerations such as market conditions and internal equity. The starting salary will be determined using these factors to ensure fairness and consistency across the organization.
