Location: 200 bloor street
Working Arrangement: Onsite 5 days
Schedule Hours: 8-4, Monday-Friday;standard 37.5 hrs/week

Story Behind the Need

•Business group: DMS Mail Services, general handling of incoming mail, researching return mail, finding addresses for customers
•Project: n/a candidate will be supporting BAU activities

Typical Day in Role
•Ensure that all incoming mail and courier is received, sorted and delivered in a timely fashion and the timely and accurate handling of all outgoing mail and courier destined to customers and advisors.
•Accurate handling and distribution of cheques, contracts and statements to internal and external customers
Using various systems web-based and internal mainframes to gather client information and mailing instructions
•Maintain email inboxes with timely and accurate action of email inquiries, scanning and print requests
Perform investigations to acquire new addresses for customers
•Investigate and resolve inquiries
•Assist with ad hoc projects as required
•Provide excellent customer service to our internal partners.

Candidate Requirements/Must Have Skills:
1) Ability to meet the physical requirements of the job. Some heavy lifting is required up to 50lbs.
2) Demonstrated accuracy and attention to detail required to avoid privacy incidents.
3) 5+ years of previous customer service or data entry related work experience

•Demonstrated ability to communicate effectively, precise communication skills both verbal and written.
•Proven to be a positive team player who understands their impact on the Customer Service Experience
•Ability to cope effectively with fluctuating volumes.
•Comfortable using various Microsoft applications including Outlook, Teams, Word, and Excel
•Strong, multi-tasking, organizational and prioritizing skills for a high volume, deadline driven environment.
•Strong analytical and problem-solving skills, and a demonstrated ability to manage change.

Education:
•High school diploma.

Summary: The main function of an mail administrator may include sorting checks, keeping payroll records, and take inventory, and distributing mail. A typical mail administrator acts as an information and communication distributor for an office. Job Responsibilities: Communicate with customers, employees, and other individuals to answer questions, disseminate or explain information, and address complaints. Answer telephones, direct calls and take messages. Compile, copy, sort, and file records of office activities, business transactions and other activities. Compute, record and proofread data and other information, such as records or reports. Maintain and update filing, inventory, mailing, and database systems. Skills: Verbal and written communication skills, multi-tasking, customer service skills and interpersonal skills. Ability to work independently and manage one time. Ability to keep information organized and confidential. Previous experience with computer applications, such as Microsoft Word, Excel and PowerPoint. Education/Experience: High school diploma or GED typically required. 5-7 years administrative/customer service related experience required.
