Property Administrator for a residential property management opportunity in
Scarborough, Ontario . This is an excellent opportunity for an experienced property administration professional who thrives in a fast-paced environment and is passionate about delivering exceptional service to residents while supporting the efficient operation of a multi-residential community.
In this role, you will work closely with the Property Manager to support leasing, tenant relations, financial administration, vendor coordination, and day-to-day property operations. The ideal candidate is highly organized, customer-focused, and experienced in residential property management.

Responsibilities: Tenant Relations & Property Administration - Build and maintain positive working relationships with tenants, vendors, contractors, building staff, and service providers.
- Serve as a key point of contact for resident inquiries and administrative requests.
- Coordinate resident move-ins and move-outs, including scheduling elevator bookings where required.
- Prepare and distribute resident communications, notices, welcome packages, and emergency information.
- Maintain accurate tenant records, including contact information, parking assignments, locker allocations, key fobs, and building access details.
Leasing & Resident Services - Assist with unit showings and leasing activities for vacant suites.
- Support applicant screening and lease administration processes.
- Maintain knowledge of residential leasing procedures and tenancy regulations.
- Assist in ensuring a positive resident experience through responsive customer service and effective communication.
Financial & Reporting Support - Assist the Property Manager with monthly and quarterly reporting requirements.
- Support preparation of variance reports, vacancy reports, and leasing activity summaries.
- Review lease setup charges and monthly rent rolls for accuracy.
- Monitor cost-control initiatives and assist with budget tracking activities.
- Process purchase orders, invoices, and accounts payable documentation in Yardi.
Compliance & Documentation - Prepare documentation related to collections, rent increases, chargebacks, claims, and evictions in accordance with the Residential Tenancies Act (RTA).
- Maintain knowledge of Landlord and Tenant Board (LTB) processes and requirements.
- Support compliance with landlord obligations, notices of entry, and resident communication requirements.
- Maintain vendor contracts, insurance certificates, and WSIB clearance records.
- Ensure all documentation is accurate, current, and properly filed.
Operations Support - Act as backup to the Building Manager when required.
- Coordinate tenant service requests and ensure timely resolution through collaboration with the operations team.
- Monitor and document work order completion within Yardi.
- Process and manage purchase orders and work orders.
- Support special projects and additional administrative initiatives as assigned.
Qualifications and Skills: - Minimum of 3 years of experience in residential leasing, property administration, or property management.
- Experience working within multi-residential properties is preferred.
- Strong knowledge of tenant services, leasing processes, and property operations.
- Proficiency with:
- Yardi Property Management Software
- Microsoft Office Suite (Excel, Word, Outlook)
- Internet-based applications and systems
- Experience processing invoices, work orders, and purchase orders.
- Ability to generate reports and maintain accurate records.
- Strong understanding of:
- Residential Tenancies Act (RTA)
- Landlord and Tenant Board (LTB) procedures
- Residential leasing and tenant relations
- Excellent organizational and administrative skills.
- Strong attention to detail and accuracy.
- Exceptional customer service and interpersonal skills.
- Strong problem-solving and conflict-resolution abilities.
- Ability to manage multiple priorities in a fast-paced environment.
