The Office Administrator will provide front line administrative and office management support for a government regulated infrastructure project. This role sits in the reception area of the project office and plays a critical role in maintaining office security, supporting senior project leadership, and ensuring administrative processes align with federal security and confidentiality requirements.
Operating in a controlled and compliance driven environment, the successful candidate will demonstrate strong judgment, discretion, and organizational skills while supporting day to day project operations.
What You’ll Do Here:
- Serve as the first point of contact at the project office reception area
- Verify identification and credentials to ensure only authorized personnel and approved visitors are granted access to the office, in collaboration with the Security Officer, ACSO
- Maintain visitor logs and follow site‑specific access and security protocols
- Manage boardroom schedules, meeting space bookings, and coordination of key project meetings, inclusive of providing administrative support to the Executive Project Management team
- Handle sensitive and confidential project information with discretion and professionalism
- Support document management practices aligned with internal project protocols. Ensuring information is stored, shared, and accessed appropriately in a secure environment
- Arrange catering, including ordering lunches and refreshments for meetings and project events
- Order and maintain office supplies and support general office readiness
What You Bring to the Team:
- Proven experience working in environments with heightened confidentiality and stringent information handling requirements
- Strong organizational and time management skills, with the ability to effectively prioritize and manage multiple tasks concurrently
- Excellent written and verbal communication skills
- Proficiency in Microsoft Office applications, including Outlook, Word, and Excel
- Previous experience providing office administration support within a government or public‑sector environment is considered an asset
Reason for vacancy: New
Pay Range: $60,000 - $80,000
Individual pay is determined based on several factors, including work location, education, experience, unique skills and job conditions. Other considerations may include certifications, specialized training, and the complexity or scope of the role.
