General Description:
The Director of Property Services & Project Management (Commercial) is a senior leadership role responsible for overseeing the operations, maintenance, and project delivery across Madison Group’s commercial property portfolio.
This position requires a strategic and hands-on leader with extensive experience in property and project management and project management, a strong commitment to customer service, and a proven ability to manage complex portfolios and large teams.
Primary Responsibilities
Property Services & Operations
- Ensure consistent delivery of building services by working closely with the Manager, Property Services to review daily priorities and base building performance.
- Troubleshoot and resolve day-to-day mechanical and electrical issues and proactively manage the impact of weather and environmental conditions on building operations.
- Review all tenant service requests to identify opportunities for improved efficiency and proactive engagement with the Building Operations Supervisor.
- Support Holiday Planning and Tenant events - installation/removal - PO creating, building comms, invoicing etc.
- In coordination with the Manager, Property Services, ensuring a comfortable environment for tenants by being pro-active and mitigating issues.
- Lead and oversee tenant onboarding and vacating processes while fostering positive tenant relationships through regular site visits and meetings.
- Mentor and develop the Manager, Property Services by providing coaching and professional development opportunities.
- Co-lead the annual budget preparation process, including operating and capital expenditures, and recommend cost-saving and performance improvements.
- Collaborate with the Leasing team to review upcoming vacancies and support scope development and cost estimates for refresh and re-marketing initiatives.
- Work closely with the Vice President, Commercial & Hospitality to ensure properties operate within approved budgets.
- Lead and coordinate the annual review of service contracts including but not limited to janitorial, landscaping, HVAC, elevators, security, and telecom, ensuring competitive pricing and service quality.
- Co-lead and coordinate monthly Commercial team meetings and bi-weekly operations meetings with the Property Administrator.
- Ensure tenant and building compliance with all applicable municipal, provincial, and federal regulations (permits, licensing, and safety requirements).
- Oversee the Manager, Property Services activities and develop Health & Safety and/or Learning Courses
- Oversee mid and year annual reviews for Operators.
- Work closely with Building Operators and Tenant Coordinator for annual review and update to both the tenant and construction manuals
- Review all Base Building Contracts Annually - Make recommendations for improvement.
Project Management
- Manage all Projects; tenant Improvement for leasing deals; landlord and Tenant driven, city violation order and notices, including meeting with Inspectors, and providing updates until close out of project.
- Lead the scope development and tender documents preparation with Designers & Engineers
- Attend on-site meetings with contractors and consultants and provide regular progress updates to Vice President, Commercial & Hospitality.
- Manage project financials including purchase orders, cost codes, invoice approvals, and internal tracking in coordination with accounting.
- Procure required quotes for – Contracts and Building Maintenance Planning
Required Skills & Qualifications
- Degree, diploma, or certificate in Facility or Property Management and Project Management Professional (PMP) designation.
- Engineering background preferred.
- Strong knowledge of building systems, BAS, construction, and property maintenance operations.
- Minimum of10+ years of experience in commercial real estate, project management, and construction.
- Proficiency in Microsoft Office (Word, Excel, PowerPoint, Outlook); experience with MRI Angus and Yardi is an asset.
- Excellent organizational, time management, and problem-solving skills with strong attention to detail.
- Ability to work independently, take initiative, and respond effectively to changing priorities and emergencies.
- Flexible availability to support after-hours emergencies as required.

Salary $130,000 to $140,000
