We are currently seeking a Document Governance Specialist to join our team.
The Document Governance Specialist is responsible for overseeing the end-to-end process of document governance including the completion of the annual review cycle. This position is responsible for providing guidance to other departments with creation and updating and ensures governance standards are followed and implemented and providing thorough operational advice, and analysis related to all functional business areas. The Specialist leads or provides support with operational projects and initiatives.
Here’s what would be included as a part of your typical day:
1. Document Management Creation: Works with document owners and subject matter experts to review and complete requests for creating and revising documents submitted to the Document Governance team. Creates and updates documents within the PGPP portal and banking system while ensuring it meets regulatory requirements. Ensures documents are clear and concise while aligning with the First West style guide and template standards.
2. Document Testing: Participates in planning test efforts, completes test plans, runs e-sign and SQL scripts, leads QA cycle and ensures scripts are written and test results are recorded correctly. Works with Agile squads on creating and identifying new merge fields in documents. Provides document to stakeholder for review as required. Completes handover documents for deployment.
3. Document Management Governance: Oversees the end-to-end document governance ensuring the annual review cycle is complete. Monitors for adherence to established workflows & escalates to their leader in cases of non-conformity. Maintains and updates document templates and approval matrix. Collaborates with content owners and subject matter experts to identify gaps and ensure content is current, complete, clear and easy to understand. Flags or removes documents that does not meet standards, archiving old documents.
4. Operations: Completes thorough analysis to provide the appropriate advice while optimizing service delivery. Ensures documents are updated or developed, in collaboration with appropriate stakeholders.
5. Agile: Provides support and direction where needed/requested to Agile squads through Compliance and Document Governance Center of Excellence.
Required Skills, Experience & Qualifications
• College, Trade or Tech School Diploma (2 years) in a related discipline required
• 4 years' related experience required; experience working in the financial services industry with exposure to business functions and integrated credit union/business systems required
• Experience and knowledge in operations, compliance, Central 1 manuals, acts and regulations
• Ability to work independently, as well as collaboratively in a team environment
• Effective interpersonal and communication skills, both verbally and in writing with a wide variety of stakeholders
• Proven organizational skills, including balancing multiple responsibilities, and effectively meeting deadlines
• Demonstrated track record of logical and critical thinking, with superior project management and planning skills
• Proficient with computer software applications ., MS Office
• Strong understanding of internet and web-based applications
• Demonstrated operational expertise in various financial services systems
• Knowledge of FI policies, procedures, product/services
• Strong understanding of SQL and running scripts, leading QA cycles,
• Displays an understanding of risk and risk ownership by being able to demonstrate adherence to policies and procedures.
