Role Overview
Our Toronto office is currently seeking a Records Clerk for our Records Management department, reporting to our Manager, Records Management. The ideal candidate will be responsible for assisting with maintaining both the physical and electronic records of the Firm to ensure accuracy and compliance with internal policies and regulatory standards.
Responsibilities
- Assisting with and responding to records requests: Providing assistance to lawyers, internal support staff and external parties in a timely and effective manner.
- Performing activities related to the file transfer process for all incoming and outgoing lawyers ensuring compliance and risk protocols are strictly adhered to.
- Advising and educating incoming lawyers and support staff on Firm retention policies and records management processes.
- Advising and educating support staff on use of the Firm's records management platform with regards to cataloguing and preparing files for off‑site storage and retrieval.
>Delivering and retrieving physical records within the office to lawyers and support staff. - Monitoring records activity using the Firm's records management platform (such as records due for disposition) and preparing reports accordingly for the Manager and Supervisor of Records.
- Assisting with various records related projects as requested.
Qualifications
- Successful completion of a certified records management program or equivalent.
- 2 – 5 years records management experience (physical and electronic) in either a legal or professional services environment.
- Strong interpersonal skills with the ability to operate as part of a team and engage with a variety of internal stakeholders as well as clients.
- Ability to work with sensitive documentation and information in a confidential and professional manner.
- Ability to lift and handle boxes weighing 0‑40 lbs. frequently throughout the day.
- Experience performing duties involving data entry, scheduling, logistics, tracking, filing and/or inventory control.
- Strong organizational and time management skills.
- Strong and effective verbal and written communication skills.
- Strong and effective problem‑solving skills.
- Proficiency working with MS suite of tools and other software applications such as IManage, 3E or similar.
- Experience working with specialized records or information management systems.
- Ability to take initiative and work independently with minimal supervision.
- Project management certification or experience would be considered an asset.

Salary Range
$50,000 - $55,000 Annually
