Description:

The Area Manager, Caretaking is responsible for providing timely, efficient and effective caretaking services to assigned shifts of the St. George campus. Through supervisory of direct reports, oversees the provision of caretaking services (including but not limited to cleaning activities, response to campus community needs and customer concerns, service delivery schedules, waste and recycling collection and employee relations) on assigned shifts on a 24/7 basis. Responsible for interviewing, hiring and training new recruits at the hourly paid and supervisory staff levels, enforcing/maintaining health and safety standards within the department, responding to campus community needs/customer concerns, ensuring service delivery schedules, handling labour relations and attendance awareness issues, and operating within budget guidelines as directed, participate in the Caretaking Quality Assurance Program to support consistent service standards and performance.

The responsibilites include but not limited to:

  • Maintains all service schedules for assigned buildings.
  • In consultation with supervisors, deploys available staff to effectively deliver core services and meet operational requirements. Makes appropriate adjustments to schedule in order to accommodate both planned and unplanned absences, replacements of employees on LTD and other long term leaves, etc.
  • Resolves technical problems and staff-related issues that arise during department/project work on a timely basis, to ensure work can be completed with minimal delay.
  • Keeps current on new procedures and work methods. Prepares reports on new methodology. Integrates new methods into current work design, ensuring health, safety and ergonomic concerns are addressed.
  • Responsible for ensuring that workplace health and safety standards are maintained. Enforces WHMIS and OHSA regulations.
  • Active member of Joint Health & Safety Committee.
  • Review individual timesheets for all employees prepared by Supervisors. Approves timesheet input and submits bi-weekly to Payroll Services (PS) for processing. This process includes submission of changes to previous pay resulting from unplanned events affecting pay (e.g. sick without pay, leave of absence without pay, etc.).
  • Tracks and monitors supply purchases budget of approximately $300K - $400K per year. Monitors salary-related expenditures for indirect reports - approximately $2.5M - $4.0M per year. Makes recommendations to the Manager for budget reassignments throughout the year.
  • In service delivery system (SAP), check status of work tickets, arrange requests with supervisors and service partners. Track and review financial records.
  • Maintains both Key and Fob access control for in-house and contracted sites.
  • Manages staff to ensure work tasks are completed on schedule and standards and policies are followed.
  • Resolves informal complaints from unionized staff, in consultation with Human Resources and Labour Relations.

Qualifications Required:

Education:

  • High school graduation plus professional training required. Knowledge of hazardous chemicals related to cleaning, WHMIS regulations, Ontario Health & Safety Act. College diploma or undergraduate degree is considered an asset.

Experience:

  • Minimum of 5 years’ experience managing a large, unionized workforce, preferably in a facility management setting (i.e. institutional caretaking operations and waste/recycling collection) or not-for-profit, or public service organization with responsibility for a budget of not less than $2M.

Skills:

  • Excellent organizational skills, including a demonstrated ability to work effectively under pressure of multiple demands, strict deadlines and frequently changing priorities. Good oral and written communication skills, including the ability to communicate effectively with a diverse workforce. Ability to motivate staff and demonstrate effective leadership. Good presentation skills preferred. Excellent computer skills including Microsoft Office Suite – Outlook, Word, Excel, PowerPoint.

Other:

  • Ability to manage conflicting priorities and deadlines. Ability to create charts, graphs and reports from several software programs. Ability to analyze information and create comparable for work loading job assignments. Mathematical aptitude.

Please Note:

  • The regular hours of work will be Monday to Friday, from 4:00 p.m. to 12:00 a.m.
  • Occasional day-shift work will be required to support training and development opportunities, attend meetings, and collaborate with the day team as needed.
