We’re entering an exciting transition toward company building and venture creation, supported by a parent technology holding company that owns IP, equity in tech startups, and the capacity to act as a foundry for new ventures built around engineering, applied research, and product development.
As the consultancy pivots from traditional business development toward venture-driven demand generation, it becomes essential that the day-to-day business runs smoothly, predictably, and with minimal executive drag. We’re hiring a Senior Executive Assistant + Finance Admin to make that possible.
The mission of this role is straightforward : keep the consultancy running with high operational hygiene so the CEO, CFO, and COO can focus on higher-leverage work such as delivery leadership, FP&A, client development, and supporting the parent company’s venture creation efforts.

What You’ll Own
Admin + Executive Support
- Collaborate to manage strategic calendar prioritization for CEO, CFO, and COO
- Participate in executive meetings; manage AI notetaker, meeting minutes, and context artifacts
- Manage email triage, follow-ups, and executive action items
- Coordinate internal and external meetings with clients, founders, and partners
- Reduce context switching and friction across leadership
- Run invoicing, AP / AR, and monthly bookkeeping in QuickBooks Online
- Reconcile accounts and maintain accurate records
- Track cash flow and prepare weekly and monthly reporting for the CFO
- Coordinate with accountants for filings and year-end
- Maintain banking and payroll inputs (Ceridian)
- Early task : rationalize and clean up the chart of accounts to better align financial reporting with both consulting and venture‑creation activities
Operational Execution
Coordinate office and vendor logistics (cleaners, repairs, supplies, movers)Support implementation of operational processes under COO directionParticipate in the company’s EOS (Entrepreneurial Operating System) operating rhythms and assist with preparation and follow‑through (rocks, scorecards, action items)Handle one‑off tasks that keep the company running smoothlySuccess Looks Like (90 Days)

Compensation
$75,000 to $100,000 CAD per year depending on experience.
