An established, dynamic investment management firm in downtown Toronto seeks a Client Services Associate for its growing 18‑person organization. The successful candidate will collaborate closely with senior management, portfolio managers, and client service staff to coordinate and administer client requests and deliverables. Requirements
- A university degree is required ; a business degree is preferred.
- A minimum of four years of direct experience in a regulated investment or financial planning environment is required.
- A minimum of two years of hands‑on experience working with National Bank Independent Network’s platform and processes is required.
- Holding the Canadian Securities Course credential is required.
- Advanced proficiency with Microsoft Office (Excel, Word, PowerPoint, Outlook, Teams) and Adobe Acrobat is expected.
- Familiarity with CSA‑regulated portfolio management operations including AML requirements is beneficial.

The Client Services Associate will primarily report to the Vice President of Wealth Management and will collaborate with members of the firm’s Client Service Group and Portfolio Management Group.
Main Responsibilities
Lead the preparation of client documentation for opening and maintaining investment accounts.Review client account documentation for accuracy, completeness, and compliance with regulatory requirements.Assist the firm’s portfolio management group with the completion of client account-related forms, LOD’s, etc., including advising of and following‑up on any documentation deficiencies.Apply advanced knowledge of NBIN systems, workflows, and operational standards to resolve issues, facilitate efficient processing, and ensure timely execution of client requests.Manage and reconcile complex client account transfers, including escalations with NBIN.Track and execute cash management requirements.Liaise with investment custodians to ensure timely and accurate processing and issue resolution.Liaise with clients and their professionals, as directed.Input client information into the firm’s document management system and ensure the information is accurate, relevant, and continually updated across various databases.Develop and implement process improvements for the Client Services team.Fulfil and report on client service projects and initiatives, as directed.Collaborate on inter‑departmental initiatives and serve as a member of inter‑departmental committees.Maintain paper and electronic filing systems.Other ad‑hoc duties as required.Other
