Here are the Details :
The Office Manager / Administrative Associate provides accurate timely administrative and customer-service support to the Advisor team and their clients.
You are the resource person for clients, and you lead the administrative tasks relating to all team operations and managing client accounts.
- Assist in preparing Advisors and Managers for client meetings, including preparation of account-opening documentation
- Complete account processing activities (converting RRSP to RRIF, setting up RRIF payments, estates, beneficiary updates, etc.)
- Process a variety of transactions (ex : issuing cheques, deposits, contributions and withdrawals, incoming and outgoing transfers)
- Commit to rigorous follow-up relating to all client transactions to ensure proper processing and minimize errors
- Act as a general resource person for clients (ex : printing statements, tax slips)
- Have a strong understanding of the firm’s procedures and policies
- Stay up to date on compliance bulletins
- Maintain client files, ensure that all documentation and notes are compliant with industry regulations
- Perform general administrative tasks (ex : prepare letters, client communication pieces, etc.)
- Help manage the office operations (ex : supply management, coordinating with HQ, greeting clients, expense tracking, etc.)
- Attend client events
- Prepare daily reports
- Perform other duties as assigned
Your education and qualifications include :
- High level of proficiency in Microsoft Office tools; experience with financial tools an asset
- Demonstrated, reliable work ethic with the ability to manage multiple, competing priorities
- Experience in opening accounts with IIROC is considered a strong asset
- Exceptional organizational skills with excellent attention to detail
- Customer-focused attitude with a commitment to providing extraordinary service to high-net-worth clients
- Ability to adapt quickly to changing needs and work requirements
- Any combination of education and IIROC experience will be considered
- Having the CSC / CPH courses is an asset (IR Licensing) but NOT necessary
