Job description

We are seeking an organized, proactive, and service-oriented individual to support our sales department and play a key role in our continued expansion.

Your Role As a vital member of our sales operations, you will serve as the central hub between our sales representatives, merchants, and partners.

Responsibilities
1. Calendar and Time Management
This is the "engine room" of your role. Your goal is to guard their time so they can focus on high-level strategy.

Calendar Synchronization: Manage scheduling conflicts between the two VPs and ensure no double-bookings occur.

Request Prioritization: Filter meeting invitations based on the importance and urgency of the files involved.

Proactive Planning: Block out "Deep Work" slots and build in buffer time for travel or transitions between meetings.

Daily Briefings: Send a summary of the upcoming day every morning (or the evening before).

2. Communication and Liaison
You are the primary point of contact—the "face" of the VPs' office.

Email Management: Sort inboxes, handle routine inquiries, and flag critical messages for immediate attention.

Internal Liaison: Act as the bridge between the VPs and their teams (Directors, Project Managers) to ensure project follow-up.

Correspondence: Draft emails, official letters, or internal announcements.

3. Meeting and Event Organization
End-to-End Logistics: Book rooms, manage video conferencing (Teams/Zoom), and handle catering orders when necessary.

Materials Preparation: Gather pre-reading materials, PowerPoint presentations, and agendas well ahead of every meeting.

Minute Taking: Write meeting minutes and, most importantly, track action items (who is responsible for what, and by when).

4. Travel Logistics and Expenses
Bookings: Organize travel (flights, hotels, trains, visas) and create detailed, step-by-step itineraries.

Expense Reports: Compile receipts, code expenses, and submit reports via internal tools (e.g., SAP, Concur).

5. Administrative Support and Special Projects
Document Management: Organize and archive important files in shared directories (SharePoint, Drive).

Formatting and Design: Polish PowerPoint presentations for Board of Directors meetings or executive leadership sessions.

Budget Tracking: Assist in monitoring departmental budgets and processing vendor invoices.
