Position Title : Child Care Subsidy Administrator, Children and Youth Services

Location : 3368 Carscallen Rd, Richmond / Remote

Terms : Permanent, Full-Time

Hours : 35 hours per week : Monday to Friday

Start Date : May 2024

Salary : $39,200-$45,000 per year

Reports To : Manager, Administration, Children and Youth Services

Nature & Scope :

Reporting directly to the Manager, Administration, Children and Youth Services, the Child Care Subsidy Administrator oversees all aspects of Financial Assistance for YBC Child Care.

This includes overseeing the Affordable Child Care benefit application inquiries, invoicing and working collaboratively with the entire Child Care Administration team.

Major Responsibilities :

  • To ensure all Affordable Child Care Benefit invoices within YBC are submitted and paid on time.
  • To ensure all family accounts are accurately maintained, updating benefits as they are approved, expired, etc.
  • To support all family inquiries regarding the Affordable Child Care Benefit and / or YMCA Financial Assistance.
  • To provide families with signed Child Care Arrangement forms and / or YMCA Financial Assistance Application forms.
  • To maintain and update application templates, sliding scales and other internal documents as needed.
  • To maintain timely communication between parents, centre supervisors, child care administration teams & management teams.
  • To provide administrative support for the development of new child care facilities, the branch Strong Kids campaign, human resources and child protection functions.
  • To provide Audit support and complete Financial Assistance reports.
  • To perform other related duties as required and be flexible to a changing work environment.
  • Commitment and focused attention to ensuring the Branch meets association commitments and targets.

Qualifications :

  • A minimum of 1 years’ experience in an administrative assistant or relevant role.
  • Proven track record in effectively navigating and utilizing databases.
  • Demonstrate a high level of organizational and administrative skills.
  • Exhibit exceptional customer service skills coupled with cultural sensitivity.
  • Excel in maintaining process and detail orientation while adeptly managing multiple tasks.
  • Proficient in utilizing Microsoft Office tools such as Excel, Word, and Outlook.
  • Demonstrate excellent verbal and written communication skills.
  • Capable of working both independently and collaboratively in a team environment.
  • Proactively take initiative and manage time effectively in a fast- paced, dynamic setting.
  • Prioritize workload with precision, showcasing impeccable organizational skills and attention to detail.
  • Possess analytical and problem-solving acumen.
  • Affordable Child Care benefit billing experience is an asset
