Our client, a major firm in the legal field, is looking to hire an Administrative Assistant to recruit legal students for their downtown Montreal office.

Responsibilities
- Assist the marketing team with the preparation of advertisements required for sponsorship activities with law schools or student associations and committees;
- Process sponsorship and donation invoices from civil law faculties;
- Assist in the organization of all recruiting activities taking place at our firm or at law schools, including ordering food, reserving rooms, following up with participants and organizing required materials;
- Register the firm for civil law faculty career days and coordinate the logistics of participating in these events;
- Publish job postings and process a large volume of applications received in the context of the Course aux stages (main recruitment period) as well as co-op recruitment;
- Assist in the organization of activities related to the Course aux stages, including interviews, interviewer documentation, candidate reception, various lunches and recruitment dinners;
- Assist in planning the reception, training and integration of summer students and articling students, including the summer student social calendar;
- Process student registration and tuition fees with the École du Barreau and communicate with the École du Barreau in this regard;
- Assist with the preparation and communication of documents required by the École du Barreau for articling registration, articling student evaluation and admission to the Roll of the Ordre;
- Assist the Human Resources team with background checks on articling students and summer students;
- Assist with the organization of the arrival and departure of summer students and interns;
- In collaboration with the Marketing / Communications team, ensure that the firm's Instagram page is up to date and active for the Montreal office;
Qualifications
- College diploma (DEC) in an administrative field;
- Minimum 2 years relevant experience;
- Experience in a law firm (an asset);
- Proficiency in MS Office (Word, Excel, PowerPoint);
- Excellent written and verbal communication skills, in both English and French;
- Excellent customer service skills;
- Reliability, creativity, professionalism, punctuality, team spirit, interpersonal skills and discretion;
- Ability to manage emergencies and prioritize tasks;
- Ability to manage several files simultaneously;
- Flexibility and availability to work occasional overtime during peak periods, if required;
- Update the recruitment budget;
- Assist with the follow-up and evaluation of interns and students in the Montreal office;
Participate in other projects or perform other tasks in the office.
