We are currently looking for a permanent full-time Medical secretary to join our team in a very busy fast-paced healthcare specialist office.

We are seeking candidates who are self-motivated, organized and have superior communication skills, both verbally and in writing.

Candidates must also have a strong work ethic for being punctual every day.

Office duties include the use of a multi-line phone system, scheduling appointments, and maintaining EMR (electronic medical records).

Preference will be given to applicants with previous healthcare office experience, with working knowledge of Accuro being an asset.

Proficiency with general office procedures and computer software tools (ie : Email, internet, Word documents) is required.

Keyboarding skills and accuracy, as well as strong, grammar and proofreading skills, are also ideal.

The medical secretary will need to have the ability to establish and maintain rapport and good communication with patients, as well as be sensitive to and understanding of each patient's healthcare needs.

Responsibilities :

  • Greet patients and visitors, ensuring a positive and welcoming experience.
  • Schedule appointments and manage the appointment calendar for the medical professional.
  • Answer phone calls, take messages, and direct inquiries to the appropriate staff members.
  • Maintain patients and update electronic medical records (EMR) system.
  • Verify health card information.
  • Coordinate referrals to other healthcare providers as needed.
  • Assist with patient check in and check out processes.
  • Manage front desk operations, including handling incoming and outgoing phone calls, and maintaining a clean reception area.
  • Provide administrative support to the medical professional, including typing correspondence, filing documents, and organizing paperwork.
  • Adhere to PIPEDA guidelines and maintain patient confidentiality at all times.

Qualifications :

  • High school diploma or equivalent required; additional education or certification and healthcare administration is a plus.
  • Previous experience working in a medical office setting preferred.
  • Proficiency in electronic medical records (EMR) systems such as Accuro.
  • Strong knowledge of medical terminology and procedures.
  • Excellent communication skills, both verbal and written.
  • Ability to multitask and prioritize task and a fast paced environment.
  • Strong attention to detail in accuracy.
  • Proficient and using phone systems and other office equipment.
  • Strong computer skills, including proficiency in Microsoft office suite.
