Job Summary :
The Cook Chill Food Production Center is located on the grounds of the Maplehurst Correctional Facility; however, Cook Chill operates as an independent production facility and is separate from Maplehurst Corrections. There are no inmates on site at any time. Civeo Premium associates do not have any interaction with, nor access to, inmates.
We are seeking an Administrator to support our daily office operations and help keep our workplace running smoothly. In this role, you will be responsible for managing phone and email communication, greeting visitors, scheduling appointments, and handling data entry. You will also maintain databases, prepare reports, and create spreadsheets and presentations for leadership. This position plays a key part in maintaining a productive, organized, and welcoming office environment.
Key Responsibilities
Provide administrative support to the management team, including coordinating and preparing all required Ministry documentation and reports.
Maintain and update organizational documentation, databases, personnel records, financial data, and reports to ensure accuracy and compliance.
Oversee organization and upkeep of office records, files, documentation, and calendars.
Prepare, compile, and submit corporate and Ministry reports, presentations, proposals, and other documentation; ensure proper filing, scanning, and distribution.
Manage administrative workload, including data processing, and provide cross‑departmental administrative and word‑processing support.
Coordinate daily office activities and operations to ensure efficiency, continuity, and adherence to company policies.
Arrange maintenance and servicing of office equipment (printers, copiers, .
Monitor building access, oversee premises conditions, and screen, clear, and record all visitors, including Ministry and Corporate personnel.
Receive and distribute courier deliveries, prepare outgoing shipments, and complete weekly mail pickups from Maplehurst Correctional Complex for delivery to managers.
Ensure accuracy and compliance of all police clearance documentation in alignment with Ministry requirements.
Maintain a clean, organized reception area, front office, screening area, and boardroom; manage office supply inventory.
Manage boardroom bookings and coordinate catering for meetings and client lunches, including occasional off‑site pickups.
Monitor voicemail messages to ensure compliance with Ministry guidelines.
Participate actively in training sessions, meetings, and special projects.
Demonstrate strong understanding of Ministry procedures and protocols; develop knowledge of business operations to support the team effectively.
Perform duties in accordance with organizational objectives, policies, standards, procedures, and the agreement between the Ministry of Correctional Services and Civeo.
Perform other duties as assigned by the manager.
Qualifications
Postsecondary education or equivalent combination of education and experience.
Proven experience in administrative or office support roles.
Strong communication and interpersonal skills; able to work effectively with all levels of the organization.
Ability to work independently, take initiative, and solve problems creatively.
Excellent time‑management, prioritization, and organizational skills with strong attention to detail.
Adaptability to changing priorities and business needs.
Proficiency in Microsoft Office (Word, Excel, Outlook, PowerPoint).
Solid understanding of operational standards, policies, and procedures.
Strong written and verbal English communication skills.
