Franchise System & Compliance Administrator

Responsibilities
The Franchise System & Compliance Administrator is an operational role responsible for the accuracy, structure, and ongoing administration of the franchise management platform (FranConnect). This position ensures franchise data is entered correctly, maintained consistently, and aligned with the configured workflows and reporting structure of the system.
As the organization’s primary platform subject matter expert, this role enables data integrity, reporting, and seamless lifecycle tracking. Working closely with Franchise Development, Operations, Finance, and Brand teams, the Franchise System Administrator ensures the franchise system operates on clean, reliable data that teams can trust.
System and Database Ownership
Serve as the primary administrator and internal expert for the franchise management platformEnsure location and franchisee data is entered accurately, completely, and in accordance with established system standards and workflowsManage user access, permissions, and role‑based visibility within the system for corporate and franchisee usersPerform regular data audits to identify inaccuracies, gaps, or process breakdowns and drive resolutionMaintain alignment between operational processes and platform configuration, including fields, workflows, permissions, and reporting structureMaintain up‑to‑date system documentation, including workflows, data standards, configuration changes, and user guidesManage change‑control processes for updates to fields, workflows, and reporting, ensuring proper communication and testing before rolloutMaintain a centralized log of system issues, enhancement requests, and resolution statusData Integrity, Compliance & Reporting
Maintain a high standard of data discipline across all franchise lifecycle stagesProduce and support operational and management reporting from FranConnectMonitor data entry across teams and follow up where standards are not metEnsure franchise platform outputs are reliable, timely, and usable for decision‑makingPerform regular audits of franchisee and location data to ensure accuracy and completeness across all teams.Collaborate with the franchising and operations teams regarding franchise agreement requirements for each franchisee, including entity details, food safety certificationsTrack pending business licenses and permits requirements and renewals, facilitate applications for licenses and permitsTrack lease renewals and assist in the preparation of documentationEnsure alignment between FranConnect data and cross‑functional reporting tools or shared data sets used by corporate teamsMonitor system adoption trends, data completeness rates, and compliance across user groupsFranchisee Lifecycle Administration
Administer franchisee lifecycle tracking within FranConnect, including onboarding milestones, transfers, renewals, and status changesTrack franchisee renewals and intent‑to‑renew status within the systemReceive information related to defaults or terminations from Operations and / or Franchising Team and ensure accurate system tracking and documentationSupport the Franchise Development team with lead, application, approval, and tracking workflow progress within FranConnectServe as the first point of contact for FranConnect‑related questions and troubleshootingCollaborate to train internal users and franchisees on proper use of the platform, including data entry standards and workflowsConduct ongoing refresher training when system updates or workflow changes are introducedIdentify opportunities to improve system usage & team performance, reduce manual workload and strengthen data qualityWork with third‑party vendors to support enhancements, configuration updates, and issue resolutionThe above outlines the general responsibilities of the role. Qualifications
Diploma in Business Administration, Information Systems, or a related field or 1-3 years of experience in franchise operations, systems administration, data management, or operational support rolesExceptional attention to detail and clear ownership of data accuracyHighly organized with the ability to manage recurring operational tasks and deadlinesAbility to multitask, prioritize effectively, and maintain composure in a fast‑paced, deadline‑driven environment.Comfortable working within configured systems and enforcing consistent use across teamsStrong analytical and problem‑solving skillsProficiency in Microsoft Office (Excel, Word, Outlook); experience with FranConnect or an equivalent franchise development system is an assetStrong aptitude for learning and managing technology‑based systems and databases (CRM experience preferred).Why You Should Join Our Team
