Job description
We are currently seeking a dedicated Order desk clerk to join a dynamic team in the construction industry. As a Order desk clerk, you will serve as the essential backbone of day-to-day branch operations, maintaining high standards of organization, facilitating seamless communication, and delivering outstanding customer service. This temporary Order desk clerk position is an excellent opportunity to leverage your administrative expertise, learn specialized industry software, and contribute to a supportive, growth-oriented operational team.

In this vital Order desk clerk role, you will interface directly with internal team members, field staff, vendor representatives, and clients. Daily responsibilities for the Order desk clerk range from handling multi-line telephone inquiries and coordinating client documentation to supporting billing and maintaining accurate records within operational software systems. Experience or familiarity with construction equipment is a strong asset, as it allows the Order desk clerk to readily understand client requests and communicate effectively with field operations. If you are a proactive professional with exceptional phone etiquette, strong technical adaptability, and a background in business administration, this Order desk clerk role offers the perfect environment to thrive.

• Strong interpersonal communication skills to interact effectively with contractors, technicians, and branch leadership.

Responsibilities
• Serve as the primary contact for incoming branch telephone calls, greeting callers professionally and routing inquiries to the appropriate department.
• Manage front-desk administrative activities, email correspondence, document processing, and general daily office workflows.
• Input, update, and maintain detailed inventory, rental, or service records using specialized industry software (such as Texada).
• Provide exceptional customer service to contractors, clients, and internal team members regarding equipment availability and service requests.
• Prepare, organize, and archive operational documentation, work orders, invoices, and administrative reports.
• Collaborate with branch management and field logistics staff to ensure accurate scheduling and smooth daily branch operations.
• Assist with basic account reconciliation, billing follow-ups, and data entry in accordance with business administration standards.
• Maintain an organized, welcoming branch reception area and ensure administrative supplies are adequately stocked.

Qualifications
• 1 to 3+ years of experience in an administrative support, office coordination, or customer service role.
• Prior administrative experience within the construction, rental equipment, or industrial sector is highly preferred.
• Demonstrated ability to learn complex database or inventory management systems quickly.
• Proven track record of handling high-volume phone calls and client interactions with professionalism.
• High school diploma or equivalent; formal coursework or certification in business administration is an asset.
