MatchBox Consulting GroupVictoria, British ColumbiaMatchbox Consulting Group is currently seeking a Project Administrator on behalf of one of our clients, an engineering consulting firm that provide a wide range of electrical engineering services for land development projects. Their expertise includes master planning, private and utility underground / overhead distribution systems, and street lighting. They aim to deliver solutions that prioritize safety, reliability, and cost-effectiveness while ensuring compliance with local utility requirements.
The Project Administrator will be responsible for assisting project managers and ensuring that projects are completed on time, within budget, and meet high-quality standards. The successful candidate can be based in Victoria or Vancouver .
Key Responsibilities
Project Administration / Coordination :
Manage invoicing, material orders, and PO coordination.
Oversee scheduling, task assignments, and workload forecasting.
Organize field reviews and pre / post-construction meetings.
Coordinate with subcontractors and handle non-technical requirements (e.g., SRWs, BC Hydro forms).
Prepare, proofread, and manage project documents (submissions, reviews, proposals, etc.).
Conduct follow-ups, proposal loss analysis, and closeout package management.
Review internal project performance and track metrics.
Optimize workload profiles and refine program tools, processes, and roles. Business Development :
Perform market research and competitor analysis.
Build and maintain key client relationships.
Conduct client meetings, cold calls, and sales outreach.
Attend industry events and drive expansion into new sectors / regions. Corporate Administration :
Manage health and safety documentation, audits, and compliance.
Handle EGBC / APEGA reporting and corporate training programs.
Maintain compliance accounts (e.g., ISNet, WCB, WorkSafe BC).
Oversee database management, software integration, PO tracking, and inventory reporting.
Must haves :
Experience in construction or related industries, such as general contracting (GC), land development, or architecture, is preferred.
Minimum of 2 years in coordination, customer service, or a similar client-facing role.
Strong client-facing capabilities and exceptional interpersonal skills to build and maintain professional relationships.
Outstanding communication abilities, including the ability to navigate difficult conversations with tact and professionalism, while balancing client needs with project goals and organizational priorities.
Proven ability to relay accurate and timely information to all stakeholders, contributing to seamless project execution. Nice to haves :
Experience in the electrical trade or engineering, particularly within distribution or electrical utilities.
Certification in project administration or project management.
Familiarity with any aspect of the project lifecycle, from initiation to completion.
