Position Summary The Accounts Receivable & Project Support Assistant supports project billing and accounts receivable activities from job set-up through payment receipt. Attention to detail is critical—you’ll ensure billing is accurate, documentation is complete, and invoices align with client requirements. You’ll work closely with Project Managers, Field Supervisors, finance team members, and clients to keep information organized, timely, and audit-ready. Key Responsibilities · Convert field time-and-material (T&M) records into office T&Ms using Excel, ensuring entries are complete and accurate. · Prepare detailed billing packages, validate supporting documents, and obtain approvals from Project Managers. · Issue invoices accurately and in accordance with client billing protocols; complete quality checks before sending. · Support the full project billing cycle, including follow-up through receipt of payment. · Monitor outstanding accounts receivable and maintain clear, well-documented follow-up notes. · Provide administrative and accounting support to Project Managers and other finance team members. · Assist with month-end and year-end accounting requirements, including reconciliations and document organization. · Perform general administrative duties (data entry, mail handling, filing) while maintaining consistent file accuracy and naming conventions. Qualifications · Exceptional attention to detail and commitment to producing accurate, consistent work (especially in invoicing and documentation). · Proficiency with Microsoft Office (Outlook, Excel, Word). · Strong organizational, prioritization, and time-management skills. · Ability to work collaboratively and provide coverage for team members during vacation or illness. · Excellent English communication skills (written and verbal). · Legally eligible to work in Canada. · 1+ years of office experience is an asset. Nice to Have · Previous experience with accounts receivable, invoicing, or project billing. · Comfort working with client-specific billing requirements and supporting documentation. · Experience in a project-based industry (construction, environmental services, restoration, or similar). · Familiarity with accounting or job-costing software (any platform).
