  • The Opportunity :

    The Executive Assistant (EA) will provide comprehensive support to the Executive and Senior Leadership team (specifically the CFO, and the VP of Bio Services & Client Success, and the VP of Quality & Patient Safety)

    This role requires exceptional communication, time management, and problem-solving skills. The ideal candidate will manage calendars, coordinate meetings, travel and accommodations, and handle confidential information while serving as a key liaison between executives, and internal / external

    stakeholders.

    The successful candidate will be required to work onsite in Markham at least 3 days per week, including one day dedicated to covering the reception desk and phone lines. This role will also provide backup support during absences for the other Executive Administrative Services (EAS) team and assist with the Pharmacy phone lines as needed

    A Day in the Life (What you will do here) :

  • Manage complex calendar scheduling and communication flow, proactively resolving conflicts and shifting priorities.
  • Plan and book all aspects of travel for senior executives, ensuring accuracy, efficiency, and alignment with company policies.
  • Complete all relevant reports (time sheets, mileage, validate CRM reports, etc.) as per specified timelines and as per required standards.
  • Draft, review, and refine presentations and communications reflecting the tone and messaging of
  • executives.

  • Assist with Town Hall preparation, agendas, meeting invites, catering, set up, and IT requirements
  • Own and facilitate on-site and off-site meetings, conferences, strategy sessions, and events.
  • Order catering for team meetings and ensure all necessary equipment and supplies are available.
  • Coordinate cross-functional projects and streamline operations to enhance productivity.
  • Handle onboarding executives’ direct reports, secure all IT equipment and building access, schedule introductory meetings, and mandatory training.
  • Oversee, track and order promotional items (SWAG) for Sentrex.
  • Act as back up Pharmacy phone support (as required)
  • Responsible for reception coverage one day a week and ad hoc break / absence support.
  • Completes all relevant reports (time sheets, expenses, mileage, validate CRM reports, etc.) as per specified timelines and as per required standards.
  • Ad hoc requests as required.
  • What you need to ensure you are set up for success :

  • Grade 12 education combined with 2 years of community college secretarial and / or equivalent work-related experience providing office administration services.
  • Minimum of 7-10 years of experience in a senior administrative role.
  • Bilingual English & French is an asset.
  • Superb written and verbal communication skills.
  • Able to accurately input information into various paper and electronic forms, with attention to detail and accuracy being essential.
  • Ability to learn quickly and adapt in a fast-paced and changing environment.
  • Strong organizational skills with the ability to handle changing priorities effortlessly.
  • Proficiency in Microsoft Office suite, phone systems, and experience working with databases (i.e., ERP / CRM). Extensive computer and software skills.
  • Self-directed individual who can work independently with minimal supervision.
  • Previous experience adhering to strict confidentiality protocol for handling patient and customer data.
  • Flexible team player willing to do what it takes to get the job done; adaptable and enjoys a challenge.
  • Experience overseeing budgets and expenses is required.
  • Experience working with Patient Support Programs is an asset
